Job Summary:
The Patient Care Representative is responsible for providing administrative and clinical support to ensure efficient office operations and high-quality patient care. This role supports both Milford and Framingham locations as needed and serves as a primary point of contact for patients, providers, and insurance carriers. The position requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced medical environment.
Duties:
Patient Services
- Answer incoming telephone calls, take messages, and direct calls appropriately
- Schedule patient appointments, procedures, and follow-up visits
- Greet, check in, and check out patients in a professional and courteous manner
- Maintain accurate patient registration and demographic information
- Prepare and manage patient charts for provider visits
Insurance, Referrals, and Authorizations
- Verify patient insurance eligibility and benefits
- Obtain and process referrals as required by insurance plans
- Submit and track prior authorizations for procedures, imaging, and specialty services
- Communicate with insurance carriers to ensure timely authorization approvals
- Document authorization status and follow up on pending requests
Billing and Financial Responsibilities
- Collect copayments, deductibles, and outstanding balances
- Respond to patient inquiries regarding billing and payments
- Collaborate with management regarding billing issues and patient accounts
Administrative Support
- Manage and distribute daily schedules
- Process incoming and outgoing faxes and distribute to appropriate staff
- Handle medical record requests in compliance with regulations
- Maintain organized filing systems (electronic and paper)
- Support operations across both office locations as needed
Clinical Support (as needed)
- Assist with rooming patients and managing patient flow
- Clean and sterilize instruments, including use of autoclave equipment
- Coordinate and schedule radiology services
- Maintain and stock exam rooms and clinical supplies
Compliance and General Responsibilities
- Adhere to HIPAA, confidentiality, and infection control standards
- Communicate effectively with patients, providers, and team members
- Perform additional duties as assigned by physicians or management
- Schedule patient appointments, procedures, and follow-up visits

Requirements:
- High School Diploma or GED required
- Previous experience in a medical office or healthcare setting preferred
- Experience with insurance verification, referrals, and prior authorizations strongly preferred
- Knowledge of medical terminology
- Strong organizational, multitasking, and problem-solving skills
- Excellent communication and interpersonal skills
- Proficiency in basic computer systems and electronic medical records (EMR)
- Ability to work independently and collaboratively within a team
- High level of professionalism, discretion, and integrity
Pay: $18.00 - $24.00 per hour
