Escrow Officer

Job Summary

The Escrow Officer manages all aspects of real estate closings for residential and/or commercial transactions in compliance with Indiana laws, underwriter requirements, and company policies. This role requires coordinating with buyers, sellers, real estate agents, lenders, attorneys, and other parties to ensure accurate, timely, and legally compliant closings. Essential Duties and Responsibilities

· Answer phones promptly and courteously, providing friendly and helpful service.

· Manage and facilitate the real estate closing process from start to finish for residential and/or commercial transactions with integrity and professionalism.

· Review title commitments, identify title defects, and work collaboratively with processors to ensure all issues are resolved efficiently.

· Prepare and review key closing documents, including:

• Closing disclosures (CDs)
• ALTA settlement statements
• Closing Protection Letters (CPLs)
• Escrow agreements
• Deeds and affidavits

· Ensure each escrow file is fully reviewed, accurate, and compliant, taking ownership of the file and confirming all information is correct prior to closing and file closure.

· Conduct closings while explaining documents clearly and respectfully to buyers, sellers, and agents.

· Disburse funds accurately and in accordance with escrow instructions, maintaining full accountability and integrity in all financial transactions.

· Record documents with the appropriate Indiana county recorder’s office.

· Communicate effectively, courteously, and honestly with lenders, real estate agents, clients, and internal team members throughout the transaction lifecycle.

· Maintain compliance with Indiana title insurance laws, RESPA, and company procedures.

· Deliver a high level of customer service, demonstrating care, respect, and professionalism in all interactions.

Required Knowledge, Skills, and Abilities

• Strong understanding of Indiana real estate law, title insurance guidelines, and escrow procedures.
• Knowledge of ALTA best practices and ability to interpret title commitments and legal documents accurately.
• High attention to detail and commitment to doing better in reviewing and preparing closing documents.
• Excellent communication and interpersonal skills to foster friendly, respectful, and professional relationships with clients and colleagues.
• Strong organizational and time management skills to handle multiple transactions efficiently.
• Professional problem-solving and decision-making abilities, particularly in high-pressure or time-sensitive situations.
• Ability to maintain confidentiality, professionalism, and integrity in all transactions.

Computer and Technical Skills

• Proficiency in Microsoft Office (Word, Excel, Outlook).
• Experience with title production software.
• Comfortable using standard office equipment: computer, scanner, fax, copier, phone.

Education and Experience Requirements

• High School Diploma required; Associate or Bachelor’s degree preferred.
• Minimum 3 years of experience in title and escrow services, preferably in Indiana.
• Indiana Title Insurance License required (or must be obtained within a specified period upon hire).
• Ohio Notary or the ability to obtain is preferred.
• Experience conducting real estate closings independently is strongly preferred.

Work Environment and Physical Demands

• Primarily an office-based position with occasional local travel to client locations or off-site closings.
• May require extended hours during high-volume periods.
• Must maintain a professional, respectful, and helpful demeanor at all times.
