Responsibilities
The SP Facility Maintenance team offers a suite of innovative and environmentally compliant facility maintenance solutions for property managers. From cleaning, painting, and general repair to daily and seasonal services, we use our environmentally compliant processes to create customized maintenance services hassle-free.
We are currently seeking a Maintenance Coordinator, who will be responsible for the efficient scheduling, planning, and coordination of maintenance activities. This role ensures that all maintenance work is carried out in compliance with safety regulations, company standards, and industry best practices. The Maintenance Coordinator plays a critical role in maintaining operational efficiency and minimizing downtime by effectively managing maintenance tasks and resources.

We are currently seeking a Maintenance Coordinator, who will be responsible for the efficient scheduling, planning, and coordination of maintenance activities. The Maintenance Coordinator plays a critical role in maintaining operational efficiency and minimizing downtime by effectively managing maintenance tasks and resources.
Scheduling and Planning
- Develop and maintain a comprehensive maintenance schedule for all equipment and facilities.
- Prioritize maintenance tasks based on urgency, impact on operations, and available resources.
- Coordinate maintenance activities without disrupting operations.
- Assist with scheduling maintenance jobs for both the internal SP Facility Maintenance team and external vendors.
- Track monthly expenses and assist with billing.
- Look for opportunities to improve efficiency and find ways to save budget expenses
- Generate estimates for maintenance services as requested.
- Create, track, and close out work orders in the maintenance management system.
- Ensure accurate documentation of maintenance activities, including repairs, inspections, and preventive maintenance.
- Allocate labor, tools, and materials for scheduled maintenance tasks.
- Coordinate with vendors and contractors for outsourced maintenance services.
- Ensure that all maintenance personnel have the necessary resources and information to perform their duties efficiently.
- Assist the Maintenance team with completing on-site work when special needs arise.
- Assist with transporting equipment to the repair shop.
- Ensure all maintenance activities comply with safety regulations and company policies.
- Conduct regular safety inspections and audits of maintenance activities.
- Promote a culture of safety and continuous improvement within the maintenance team.
- Prepare regular reports on maintenance activities, including key performance indicators (KPIs) and metrics.
- Maintain detailed records of equipment history, maintenance logs, and compliance documentation.
- Provide data and insights to support maintenance planning and decision-making processes.
- Serve as the primary point of contact for maintenance-related inquiries and issues.
- Communicate effectively with internal and external stakeholders to coordinate maintenance activities.
- Collaborate with the Maintenance management team to develop and implement maintenance strategies and improvements.
- Monitor and maintain inventory levels of spare parts and maintenance supplies.
- Order and restock materials as needed to ensure uninterrupted maintenance operations.
- Maintain accurate records of inventory usage and stock levels.
- Prior experience in maintenance coordination, planning or a related role.
- High school diploma or equivalent required
- License Requirement: Must possess a valid state-issued driver’s license with a current address and acceptable driving record
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in maintenance management software and Microsoft Office Suite.
- Knowledge of maintenance practices, tools, and equipment.
- Ability to work independently and as part of a team in a fast-paced environment.
- Relevant certifications in maintenance management or a related field are a plus (e.g., Certified Maintenance & Reliability Professional (CMRP)).
