We are seeking a highly organized, detail-oriented Executive Assistant to support our Chief Operating Officer (COO). This role is ideal for someone who thrives in a fast-paced, collaborative environment and is eager to take ownership of both administrative and operational support duties. You’ll be the right hand to the COO—helping streamline workflows, manage key systems, and keep internal operations on track.
WHAT YOU CAN EXPECT TO DO:
(Include but are not limited to)
- Provide direct administrative and operational support to the COO, including calendar management, meeting coordination, and preparation of internal and external communications.
- Assist with invoicing and billing processes, including tracking project billables and communicating with clients as needed.
- Update and maintain internal project management systems, ensuring all project notes, milestones, and follow-ups are recorded accurately and in real time.
- Track business opportunities and assist in preparing proposals, presentations, or responses to RFPs.
- Coordinate and support internal communications between departments, especially in relation to project status, client updates, and deadlines.
- Assist in managing COO-led initiatives, meetings, special projects, and internal planning sessions.
- Prepare and edit documents, reports, and agendas.
- Support onboarding logistics for new hires, vendors, or consultants.
- Maintain organized digital files and ensure data integrity across systems.
The salary range for this position is $75,000 - $85,000.
WHAT WE EXPECT OF YOU:
- 3 years of experience supporting senior executives (C-suite preferred).
- Prior experience in a construction, real estate, or zoning/code compliance firm is a plus.
- Strong written and verbal communication skills.
- High level of attention to detail and ability to manage multiple tasks and deadlines.
- Proficient in Microsoft Office Suite, and project management tools
- Ability to maintain a high level of discretion and confidentiality.
- Self-starter with a proactive attitude and strong problem-solving skills.
Position Details:
- Location: This is a full-time, office-based position located in either our New York office.
- Schedule: Monday to Friday, with the following shift options:
- 8:00 AM – 4:30 PM
- 8:30 AM – 5:00 PM
