ROLE OVERVIEW
The Technical Operations Project Manager will be the connective tissue between the technology team and every team that depends on technology to deliver an exceptional customer experience. They will own quality assurance testing, translate operational needs into clear requirements before development begins, and serve as a trusted, neutral partner ensuring the full impact of a change is understood before it ships.
KEY RESPONSIBILITIES
Cross-Functional Coordination
• Act as a neutral bridge between the technology team and operations, clinical, and program functions
• Proactively communicate upcoming deployments, expected impacts, and testing timelines to affected teams
• Flag operational risk when development timelines or scopes may not allow for adequate preparation
• Contribute to sprint planning, tech request prioritization, and deployment readiness reviews
• Support post-deployment reviews to capture lessons learned and drive process improvement
Technical Updates for TrimRx
• Support the team by configuring technical tools in order to facilitate technical and automated processes.
• Build one off custom tools or interface/build with the HelixCRM team to accomplish the goals and initiatives from the TrimRx leadership and operations team.
• Lead the team when building out technical requirements to be built by the appropriate teams internal to TrimRx or by other vendor partners
Quality Assurance Testing
• Own end-to-end QA testing for all technology deployments - new features, tools, workflows, and integrations
• Design and execute structured test plans that reflect both technical requirements and operational realities
• Serve as the operational voice in QA: testing not just whether something works technically, but whether it works for all teams, program staff, and customers
• Establish and maintain a QA process that provides adequate testing windows and prevents rushed deployments
• Document bugs, gaps, and edge cases clearly; track resolution before sign-off on releases
• Build regression testing practices to catch issues introduced by new changes
Requirements Gathering & Pre-Development Collaboration
• Partner with operational, clinical, and program teams to capture business and workflow requirements before development begins
• Translate operational needs into clear, written requirements the technology team can act on without ambiguity
• Facilitate structured requirements reviews between business stakeholders and the tech team to align on scope, timing, and priorities
• Maintain a living requirements and backlog intake process so operational needs are visible and prioritized consistently
• Participate in or lead pre-deployment planning conversations to ensure teams have appropriate lead time for changes
KEY RELATIONSHIPS
This role is explicitly cross-functional. Day-to-day collaboration will span:
• CTO & Engineering Team - primary partnership for QA execution, requirements handoffs, technical requests and deployment planning
• COO & Director of Operations - direct manager; strategic alignment on operational readiness and process development
• Program Director - coordination on patient-facing tool releases and program workflow impacts
• Clinical Operations - ensuring clinical workflows and compliance needs are represented in requirements and testing
The effectiveness of this role depends on being perceived as organizationally neutral - not an advocate for any one function, but a trusted partner across all of them.
QUALIFICATIONS
Required
• 2-5 years of experience in QA, business analysis, technical operations, or a related role
• Demonstrated ability to translate between technical and non-technical stakeholders
• Technical fluency - able to read and interpret API documentation, understand how
integrations pass data between systems, navigate developer tools or logs to reproduce a
bug, and communicate meaningfully with engineers without needing concepts translated.
Not a developer, but not a stranger to how software is built or used.
• Experience writing requirements documents, test plans, or operational specifications
• Comfortable in fast-moving, ambiguous environments with shifting priorities
• Strong written communication - this role produces artifacts (requirements docs, test
plans, release notes) others rely on
• Operational curiosity - able to think through second-order effects and edge cases before they become problems
Preferred
• Experience in health tech, telehealth, or digital health environments
• Technical / software engineering and database understanding is not a must but a huge plus
• Familiarity with agile or scrum development workflows
• Exposure to patient-facing tools, CRMs, subscription platforms, or clinical workflow
software
• Experience with project management or requirements tools (Jira, Asana, or similar)
WHAT SUCCESS LOOKS LIKE
In the first 90 days
• Has mapped the current deployment and QA process end-to-end and identified the
highest-risk gaps
• Has built a trusted working relationship with both the CTO's team and the operations
function
• Has participated in at least one full deployment cycle and produced a structured QA test plan
• Has drafted or significantly improved a requirements intake process that operational
teams actually use
Salary Range: $120,000 - $150,000
