Accounting Administrative Assistant

We are excited to announce the expansion of our accounting department and are seeking an entry-level Accounting Administrative Assistant to join our team. This position offers the opportunity to develop foundational accounting and administrative skills in a supportive, team-oriented environment while contributing to the continued success of our organization.
Key Responsibilities:
Accounting Support
· Assist with accounts payable and accounts receivable processing
· Match invoices, purchase orders, and receipts for accuracy
· Prepare and enter journal entries under supervision
· Reconcile bank statements and credit card transactions
· Maintain and update financial records and ledgers
· Support month-end and year-end closing activities
· Generate and distribute financial and operational reports as needed
Administrative Tasks
· Answer phone calls, direct inquiries, and respond to emails professionally
· Organize and maintain both digital and paper filing systems
· Prepare correspondence, reports, and spreadsheets for management
· Manage incoming and outgoing mail, packages, and vendor documentation
· Coordinate with internal departments to support accounting functions
General Duties
· Ensure accuracy and confidentiality of financial records
· Assist with audit preparation and document requests
· Collaborate with team members to improve processes and efficiency
Qualifications:
· Strong computer skills and the ability to quickly learn new software systems
· Proficient in Microsoft Office Suite (especially Excel and Outlook)
· Excellent attention to detail and organizational skills
· Ability to multitask and manage time effectively in a fast-paced environment
· Strong written and verbal communication skills
· Positive attitude, reliability, and a willingness to learn new tasks and systems
· Previous office or administrative experience preferred but not required
