What are the responsibilities and job description for the Church Financial Administrator position at Messiah Lutheran Church of Roanoke?
Responsible for accurate, transparent, and compliant management of the
church’s finances. Adheres to internal controls, timely reporting, budget maintenance, and
stewardship of contributions while maintaining confidentiality and accountability to the
Treasurer, Deacons, Finance Committee, Vestry and Congregation.
Key Responsibilities
Financial Operations & Controls
- Make weekly deposits of Sunday giving (cash and checks), including copying documentation.
- Record all receipts (Sunday offerings, Tithe.ly, Zeffy) and expenses in QuickBooks Online (QBO).
- Pay bills via bank Bill Pay when possible; write and obtain dual signatures for remaining checks.
- Record credit card charges, obtain receipts, and recoup any personal charges.
- Complete payroll and make corrections as needed.
Reporting & Compliance
- Prepare monthly budget-to-actual comparative financial reports for Deacons.
- Prepare and distribute giving statements twice yearly (June 30 and December 31).
- Provide full documentation for annual internal audit.
- Obtain W-9s prior to making any 1099-NEC payments.
- Budgeting & Planning
- Collaborate with the Finance Committee in October to develop the annual budget.
- Prepare new payroll template in Google Sheets annually.
- Stewardship & Best Practices
- Uphold segregation of duties, dual signatures, secure storage, and other internal controls.
- Support financial transparency through clear reporting to the congregation.
- Adhere to financial policies and procedures.
Qualifications
- Experience in accounting or bookkeeping (church or nonprofit experience preferred).
- Proficient in QuickBooks Online (QBO), Excel, Word, and Google Sheets/Docs.
- High level of integrity, attention to detail, and ability to maintain confidentiality.
- Knowledge of nonprofit accounting principles, contribution restrictions, and basic
payroll/compliance requirements.
- Strong communication skills and ability to present financial information clearly.
Preferred
- Experience with church-specific software (Tithe.ly, Zeffy) and familiarity with faith-based
organizational governance.
