Responsibilities
- Oversee daily office operations to ensure efficiency and productivity
- Supervise administrative staff and coordinate team activities
- Manage scheduling, calendar appointments, and multi-line phone systems
- Handle vendor management, including negotiations and service coordination
- Oversee bookkeeping, budgeting, payroll processing, and QuickBooks administration
- Plan and coordinate company events and training sessions
- Maintain filing systems and ensure proper documentation practices
- Manage front desk duties including phone etiquette and visitor reception
- Support human resources functions such as onboarding, employee records, and policy enforcement
- Develop and implement office policies to improve workflow and communication
Requirements
- Proven experience in office management or administrative roles with strong organizational skills
- Supervising experience with team management capabilities
- Proficiency in QuickBooks, calendar management software, and multi-line phone systems
- Knowledge of bookkeeping, payroll processing, budgeting, and vendor relations
- Excellent communication skills with professional phone etiquette
- Experience in event planning, training & development, and human resources functions
- Strong organizational skills with attention to detail in clerical tasks such as filing and record keeping
- Ability to handle front desk operations efficiently in a fast-paced environment
- Prior experience in medical office management or related fields is advantageous
- Demonstrated ability to manage multiple priorities effectively in an office setting
