Title: Administrative Assistant

Reports to: Billing Manager

About the Role:

As our Administrative Assistant, you’ll help keep things running smoothly by supporting vendor management, organizing records, and handling daily office tasks. We’re looking for someone detail-oriented, friendly, and reliable.

Key Responsibilities:

  • Assist in vendor set-up and maintain accurate records.
  • Track and coordinate renewal of business, contracts, and related licenses.
  • Process incoming and outgoing mail efficiently.
  • Post incoming payments and maintain documentation.
  • Respond to email and phone inquiries professionally and properly.
  • Provide administrative support for contract and vendor management.
  • Place and mange office supplies.
  • Perform other general office duties and other tasks as assigned.

Qualifications:

  • Required high school Diploma and/or GED equivalent.
  • Minimum 2 years of administrative experience
  • Manage a variety of documents, many highly confidential. May write reports, letters, and memos.
  • Prior experience in the construction industry is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Experience with Viewpoint Spectrum software strongly preferred.
  • Ability to work independently and manage multiple tasks.
  • Perform other duties as assigned.
  • Must possess good communication, organizational, and problem-solving skills.
  • Working knowledge of business procedures and letter and report formats.
