As our Front Office & Operations Coordinator, you’ll be the first face and voice our clients interact with, while also supporting key workflows across sales, service, and administrative operations. Key Responsibilities:
- Set the tone for a high-end dealership experience by greeting clients and answering all inbound calls with warmth, efficiency, and professionalism
- Assist the sales and service teams in delivering a seamless client experience — offering refreshments, giving showroom tours, and helping coordinate drop-offs, pickups, or appointment flow
- Act as a point-of-sale contact for vehicle deposits and service invoice payments, handling transactions with accuracy and professionalism
- Help schedule service appointments, gather client concerns, and assist with intake during peak hours or when advisors are unavailable
- Maintain a guest-ready front office, showroom, and conference area — restocking amenities, monitoring cleanliness, and ensuring presentation standards are upheld
- Support dealership logistics by coordinating vehicle transport for new inventory and managing concierge services like local pickup and delivery for service clients
- Process and track vehicle titles for both in-state and out-of-state transactions, including coordination with lienholders, DMVs, and auction houses
- Maintain accurate records for inventory, titles, and sales documentation across both digital systems and physical filing structures
- Assist with uploading new inventory to internal systems, preparing sales documentation, and managing back-end tasks to support vehicle delivery
- Collaborate with the accounting department to help issue checks, remit payments, and manage vendor-related paperwork
Qualifications:
- Polished, professional presence and excellent communication skills — both in-person and over the phone
- Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously
- Comfortable interacting with high-net-worth clients and maintaining discretion in a luxury environment
- Prior experience in a dealership, DMV, or tag/title processing role is a plus — but we’re willing to train the right candidate
- Confident using modern workplace tools such as Google Workspace (Docs, Drive, Gmail), Monday.com, and cloud-based filing systems
- Proactive, self-starting mindset — someone who notices what needs to be done and takes initiative without being asked
- Reliable, punctual, and comfortable in a role where consistency and presentation matter daily
