Merit Resource Services is hiring a Business Manager Assistant to work in our Ellensburg Location.
Merit Resource Services is an outpatient Drug and Alcohol Treatment facility. Our Mission is to support recovery for all in need by providing access to quality assessment, education, integrated treatment services and co-occurring services for substance use disorders and behavioral health needs. We were founded in 1979 as the first outpatient alcohol and other drug treatment provider in the lower Yakima valley.
JOB DESCRIPTION
Under the supervision of the Business Manager, the Business Manager Assistant provides high-level clerical support to the Business Manager. The position performs a variety of secretarial duties and skilled tasks that may include preparing reports, conducting research, and collecting data. The position will also be backup for Support Clerk/UA Technician’s when needed.
SPECIFIC RESPONSIBILITIES
- Collects requested data and information from various sources including (EHR) electronic health record, accounting system, email and other correspondence, and other documents; prepares summaries of findings and/or other related spreadsheets as requested.
- May conduct research (within skills and expertise) to assist with projects or inquiries.
- Assists with quarterly Revenue and Expense report.
- Assists with monthly Recovery Navigator Program invoice.
- Assists with license renewals.
- Assists with gathering and preparing documentation for audits.
- May respond to and resolve administrative and Board of Director inquiries and questions.
- Performs other related duties as assigned.
SUPPORT CLERK/UA TECHNICIAN RESPONSIBILITIES
- Greet and assist clients, visitors, and staff in a professional and friendly manner.
- Schedule appointments and manage patient files with attention to confidentiality.
- Provide basic information about treatment programs and services.
- Answer and distribute any incoming calls to office staff.
- Assist clients in the registration process, ensuring that complete and accurate information is obtained.
- Verify and input client insurance information.
- Obtain client payments.
- Create deposit reconciliation and make bank deposits.
- Efficiently manage and date stamp any correspondence.
- Observe urine collection from participants of the same gender in accordance with established procedures for urinalysis testing protocols.
QUALIFICATIONS
Detail-oriented and professional. Exceptional communication skills. Extremely proficient with Microsoft Office Suite with emphasis on Excel. Basic understanding of office equipment. Basic understanding of clerical procedures and systems such as record-keeping and filing. Ability to work independently and reliably. Flexible and adaptable in various situations and when interacting with many different personalities. Ability to organize and prioritize tasks. Knowledge of, or ability to quickly acquire, familiarity with the roles and functions of the assigned department, and any specifically applicable laws or guidelines. Ability to handle sensitive information discreetly and maintain client and staff confidentiality. Associate degree required or equivalent. Work experience may be considered as an equivalent. Three to five years of experience in Excel with knowledge of formulas preferred. Experience with electronic health record (EHR) systems preferred.
