Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, and visitor coordination to ensure seamless communication and customer service.
- Supervise administrative staff and provide training & development opportunities to enhance team performance.
- Manage scheduling for meetings, appointments, and events, ensuring calendars are up-to-date and conflicts are minimized.
- Coordinate vendor management activities, including negotiating contracts, processing invoices, and maintaining supplier relationships.
- Handle bookkeeping tasks such as expense tracking, petty cash management, and basic QuickBooks accounting entries.
- Support human resources functions including onboarding new employees, maintaining personnel records, and assisting with payroll processing.
- Organize company events and meetings through event planning expertise to foster team engagement and morale.
- Maintain accurate filing systems—both digital and physical—and ensure confidentiality of sensitive information.
- Assist with budgeting processes by monitoring expenses and preparing reports to support financial planning efforts.
- Ensure compliance with office policies, health & safety regulations, and other relevant standards in a fast-paced environment.
Qualifications
- Proven experience in office management or administrative roles within a professional setting.
- Supervising experience with the ability to lead teams effectively.
- Strong proficiency in QuickBooks for bookkeeping and payroll processing.
- Excellent schedule management skills to coordinate multiple priorities efficiently.
- Vendor management experience including contract negotiation and relationship building.
- Knowledge of human resources practices such as onboarding, employee records management, and payroll administration.
- Demonstrated organizational skills with keen attention to detail in filing, record-keeping, and process optimization.
- Exceptional communication skills—both verbal and written—and professional phone etiquette.
- Experience in medical office management or healthcare settings is a plus but not required.
- Ability to handle clerical tasks such as data entry, filing systems, and front desk responsibilities with professionalism.
