BOOKKEEPER / OFFICE ADMINISTRATOR

SUMMARY

The purpose of this position is to perform bookkeeping/administrative functions associated with processing documentation and information relating to the daily office operation of the Meridian Airport Authority.

ESSENTIAL FUNCTIONS

The following duties are required for this position. This list of duties and responsibilities is not intended to be all-inclusive and can be expanded to include other duties or responsibilities assigned and required by management that it deems applicable, indicated, or necessary at any time, with or without notice.

Performs office and non-manual work which is directly related to the management or general business operations of the employer and its customers and/or employees, over which the employee may be responsible. Exercises discretion and independent judgment with regards to significant business matters.

Processes a variety of documentation associated with department operations, per established procedures and within designated timeframes; distributes documentation or retains records as appropriate.

Processes purchasing and accounts payable documentation; obtains competitive price quotes for potential purchases; types, processes, submits, and administers purchase orders; processes invoices for payment; reviews invoices for accuracy and research discrepancies.

Processes accounts receivable documentation; generates and mails billing statements for rents due; maintains accounts receivable ledger.

Performs a variety of general bookkeeping tasks, such as posting financial data, balancing reports, researching financial discrepancies, maintaining ledgers, preparing bank deposits, and reconciling statements.

Assists Finance Director with preparing for audits by providing documentation and information to auditors.

Provides support for board meetings or other meetings; records/transcribes meeting minutes; maintains minute books; gathers claims docket items and other correspondence in preparation for monthly Authority meeting deadlines.

Prepares or completes various forms reports, correspondence, billing statements, purchase orders, income statements, bank deposit slips, newspaper advertisements, or other documents.

Receives various forms, reports, correspondence, invoices, claims dockets, bank statements, policies, procedures, manuals, reference materials, or other documentation; reviews, completes, processes, forwards or retain as appropriate.

Operates a computer to enter, retrieve, review or modify data; verifies accuracy of entered data and makes corrections; utilizes word processing, financial, or other software programs.

Answers the telephone; screens calls; provides information and assistance; takes and relays messages or directs calls to appropriate personnel; returns calls as necessary; communicates via two‐way radio as needed.

Maintains file system of departmental records; maintains bid files for appropriate deadline.

Communicate with supervisors, employees, board members, airport personnel, passengers, visitors, vendors, sales representatives, bank personnel, the public, outside agencies, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.

Attend department meetings or other meetings as required.

Conducts various errands as needed, such as picking up mail.

Provides assistance to other employees as needed.

Performs other related duties as required.

Physical Presence: The presence of the employee or collaboration of the employee in person is required.

Data Utilization: Requires the ability to calculate and/or tabulate data. Includes performing subsequent actions in relation to these computational operations.

Human Interaction: Requires the ability to provide guidance, assistance, and/or interpretation to others regarding the application of procedures and standards to specific situations.

Equipment, Machinery, Tools, and Materials Utilization: Requires the ability to operate., maneuver and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.

Verbal Aptitude: Requires the ability to utilize a wide variety of references, descriptive, and/or advisory data and information.

Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication, and division; the ability to calculate decimals and percentages; the ability to utilize principles of fractions; and the ability to interpret graphs.

Functional Reasoning: Requires the ability to apply principles of rational systems; to interpret instructions furnished in written, oral, diagrammatic, or schedule form; and to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives.

Situational Reasoning: Requires the ability to exercise judgment, decisiveness and creativity in situations involving evaluation of information against measurable or verifiable criteria.

REQUIRED MINIMUM QUALIFICATIONS

Bachelor's or Associate's degree in related field is preferred or equivalent combination of education and experience. Experience in office management, word, excel, bookkeeping, minutes preparation, billing, and QuickBooks is preferred.

Candidates and employees must be a minimum of eighteen (18) years of age, fluently speak and read the English language, be authorized to legally work in the United States of America, and possess and maintain a valid Driver’s License.
