Position Summary
This is an exciting time to join the Foundation team as Mercy continues the public phase of its 150th Anniversary Campaign. The Special Events Coordinator is a newly created position that supports the planning, coordination, and execution of key fundraising, cultivation, and stewardship events for Mercy Health Services and the Mercy Health Foundation. This role provides essential logistical and administrative support to ensure events are executed smoothly, professionally, and in alignment with Mercy’s mission and values.
Reporting to the Director of Special Events, the Special Events Coordinator works collaboratively with colleagues across Mercy Health Services and the Mercy Health Foundation to support donor engagement and institutional priorities through events.

Key Responsibilities
- Support the planning and execution of key fundraising, cultivation, and stewardship events for Mercy Health Services and the Mercy Health Foundation.
- Assist with event logistics, including venue coordination, catering, audiovisual needs, vendor communication, registration, and on-site support.
- Maintain event timelines, task lists, and documentation to support smooth execution.
- Provide day-of-event support, including setup, guest check-in, program flow assistance, and breakdown.
- Serve as a professional point of contact for vendors, donors, volunteers, and internal stakeholders as needed.
- Assist with event-related communications, including invitations, reminders, and follow-up correspondence.
- Support budget tracking, invoice processing, and expense reconciliation for events.
- Assist with post-event follow-up, data tracking, and evaluation summaries.
- Represent Mercy Health Services with professionalism and courtesy at events and meetings.
- Other duties as assigned.
Qualifications
- Commitment to the mission and values of Mercy Health Services and the Sisters of Mercy.
- Bachelor’s Degree preferred.
- Experience supporting events, projects, or administrative functions preferred; nonprofit, healthcare, hospitality, or volunteer experience a plus.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Professional written and verbal communication skills.
- Comfort working with vendors and external partners.
- Proficiency in Microsoft Office Suite and ability to learn internal systems.
- Willingness to work evenings and weekends as event schedules require.
