How You’ll Make An Impact

You will provide logistical and administrative support to the functioning of the Organizational Development department both with internal and community-based constituents.

In This Role, You Will

Serve as department’s central source of planning, organizing, scheduling and task management.

  • Overall Administrative Duties
  • Supply Ordering and Maintenance - Manage training and office supply orders, budgeting, and invoicing for the department. Inventory, purchase, and manage training supplies, including workbooks, food, and various items unique to each curriculum.
  • Meeting Setup, Support and Follow-up – Schedule/attend meetings/trainings and provide room setup and cleanup assistance as requested. Ensure meeting conversations are recorded and/or documented and distribute notes in a timely manner, including required follow-up steps. Ensure adequate follow-through on assigned tasks and action steps developed during meetings.
  • Learning and Development
  • Records Processing - Play a central role in receiving, digitizing, and documenting training records in online learning management systems (mhLEARN, CPI, VIRTUS, Red Cross, ISBE).
  • Records Auditing and Reporting – Configure, run and curate Excel training reports for the Learning and Development team and to share with Coordinator-HR for agency compliance processes. Maintain continuing education compliance documentation to support agency provider licenses with ISBE and IDFPR.
  • DCFS, COA, and Regulatory Compliance – Provide reports, create transcripts and follow up with staff to ensure compliance with training requirements.
  • Training Announcements – List internal courses in mhLEARN, draft internal/external communications to support the Speaker Series program, including posters, HTML emails and Eventbrite.
  • Internships – Assist with administrative duties related to the internship application, selection and placement process.
  • Quality Improvement and Evaluation
  • Support administration of Agency surveys through providing reminders and supporting staff with survey completion.
  • Send end of quarter data entry reminders to youth-serving programs.
  • Order, track and send gift cards for former residents who complete post-residential surveys.
  • Spiritual/Cultural Development
  • Serve as point person for MercyWorks living room meeting space (scheduling, monitor for cleanliness, etc.).
  • Manage materials related to cultural celebrations on both campuses.
  • Provide administrative support for Spiritual Celebrations and Retreats (ordering supplies, processing surveys, assisting with logistics as needed).
  • Other Projects and Expectations
  • Conduct research as needed for Agency initiatives and projects.
  • Assist with project management for various activities as assigned by the Vice President – OD.
  • Participate in all supervisory and team meetings appropriate to the job function.
  • Uphold the principles, policies, and procedures of the department while working collaboratively with other departments to promote the mission of the Agency.
  • Maintain own professional development and professional networks to support continuous learning.

What We Need From You

  • At least 21 years of age
  • Bachelor’s degree, preferably in social sciences, organizational development, or human services
  • Ability to work effectively both independently and within a team approach
  • Excellent interpersonal communication skills (in-person, in written correspondence, and during phone conversations)
  • Maturity and sensitivity to cultural and individual differences and is willing and competent to work with a diverse population
  • Ability to manage a high volume of work in a highly organized and responsive manner
  • Ability to manage multiple projects with competing priorities
  • Ability to maintain confidentiality and professionalism while exercising judgment and discretion
  • Ability to follow oral and written instructions
  • Ability to write reports and professional correspondence
  • Ability to read, analyze, and interpret professional periodicals, journals, and government regulations
  • Excellent executive functions skills (planning, decision-making, organization, and time management)
  • Ability to plan, lead and enlist support for complex projects and programs
  • Maintain composure under pressure and demonstrate flexibility and quick-thinking
  • Ability to build effective and constructive relationships and provide excellent customer service
  • Excellent follow through on achieving goals and completing assigned tasks
  • Solution-focused mindset and an ability to proactively solve problems
  • Willingness to facilitate meetings and group discussion if needed
  • Willingness to learn new skills and take on new challenges as the needs of the department evolves
  • A valid Illinois driver’s license, and ability to drive a van and maintain a clear driving record
  • Regular and predictable attendance
  • Ability to lift and/or move up to 20 pounds
  • Proficiency in Microsoft Office suite of products, particularly Excel for organizing and reporting data.
  • Ability to become proficient in other software programs, including Cornerstone learning management system.
  • Ability to attend required Agency trainings and maintain necessary training compliance.
  • Flexibility to work and/or attend trainings or sessions outside of regularly scheduled hours (occasional early morning, evenings and/or weekend hours to host trainings and meetings)
  • Commitment to the mission, values, and goals of the Agency.

Basic Information / Schedule Details

Monday to Friday: 9am to 5:00pm

Pay: $26 to $27 Hourly, Full-Time
