Responsibilities
- Organize and Archive: Systematically manage both physical and digital documents, establishing clear naming conventions for easy retrieval.
- Audit and Compliance: Conduct regular audits of all files to ensure they remain accurate, up-to-date, and fully compliant with internal standards.
- Data Entry: Perform high-accuracy data entry across various systems, specifically focusing on maintaining records for supplier transparency.
- Advanced Spreadsheet Management: Use Microsoft Excel for complex data manipulation, including the creation of formulas, pivot tables, and visual charts/graphs.
- Document Creation: Utilize Microsoft Word to create, format, and edit professional documents and reports as needed by the team.
- Cross-Functional Collaboration: Partner with colleagues across various departments to facilitate smooth operations and resolve administrative issues.
- Meeting Participation: Actively contribute to team meetings by sharing insights, feedback, and progress updates on ongoing initiatives.
- Software Adoption: Proactively learn and master new software tools, including document approval platforms and specialized data applications.
- Process Improvement: Stay updated on industry best practices for document management to continuously improve internal workflows.
Education
- High school diploma or equivalent is required.
- An Associate or Bachelor’s degree is preferred.
Experience
- Proven experience in document management and high-volume data entry.
- Strong proficiency in the Microsoft Office Suite (Word and Excel).
- Previous experience in an administrative or Quality Assurance (QA) role is considered a significant plus.
- Demonstrated ability to learn new software programs quickly and efficiently.
