Summary:
Under general supervision, the Human Resources Coordinator performs varied administrative support unique to Human Resources. Human Resources will help senior administration drive the community culture; therefore, a strong belief in and adherence to our Mission and Core Values is imperative.
Essential Duties and Responsibilities:
- Provide support to the Director of Human Resources for all human resources functions.
- Coordinate complex interview schedules and calendars for candidates and hiring managers. This includes sending confirmations, managing calendar invitations, and ensuring all parties have the necessary logistics.
- Assist in drafting and posting job descriptions on various job boards, career sites, and relevant professional platforms.
- Primary responsibility for the administrative execution of the new hire onboarding process from the acceptance of the offer through the first week of employment, ensuring all onboarding is completed before the new hire starting.
- Input and verify all new hire data into the Human Resources Information System (HRIS).
- Primary responsibility for employment documentation compliance. This includes tracking and maintaining I-9 forms, required background investigations, and other personnel documents, as required. Follow up with employees regarding missing information and forms, as needed. Perform periodic audit checks to ensure compliance. Monitors re-certifications of all employment compliance.
- Assist with the bi-weekly payroll process.
- Assist with benefits administration as needed.
- Maintain and reconcile general ledger accounts for both quarterly and fiscal year reporting to the Controller. Prepare reports noting discrepancies and prepare journal entries as needed.
- The HR Coordinator will serve as the departmental specialist for all mandated pre-employment clearances and ongoing compliance for all personnel.
- Oversee Vector training module. Which may include working directly with department heads on assignments, creating and assigning groups, adding recurring training and tracking compliance.
- Perform onboarding/clearance process for campus visitors/speakers, vendors, subcontractors, independent contractors, and athletic officials.
- Primary support to summer programs hiring and onboarding of seasonal staff. This includes working with the program director to ensure all nonexempt hours are added to payroll and each individual is accounted for; ensure staff on work permits are following PA Child Labor Law.
- Prepares, sends, and tracks all seasonal hiring offer letters.
- Helps keep payroll reminders/system and other spreadsheets updated to ensure proper tracking for budget and pay purposes.
- Screen phone calls and visitors, provide information to supervisors and staff requiring comprehensive knowledge and interpretation of established policy and guidelines.
- Perform general administrative duties which may include assisting with the preparation and distribution of correspondence, and plan and arrange conferences or meetings.
- Assist the department with employee engagement activities, e.g., events, reward and recognition, retention, and training.
Knowledge, Skills and Abilities:
- Basic knowledge of the principles, practices and procedures of human resources administration.
- Knowledge of basic business concepts or accounting practices.
- Good judgment, professionalism, strong interpersonal skills, and a collaborative work style
- High integrity, confidentiality, and ability to generate trust.
- Proficiency in Microsoft Suite, Google Suite, and/or HRIS systems.
- Ability to solve problems analytically with a high attention to detail.
- Ability to effectively communicate orally and written.
Minimum Qualifications:
- Two to four years of related experience; OR
- Bachelor’s Degree in related field; OR,
- Any equivalent combination of experience, training, and/or education approved by Human Resources
