CES Operations Admin Job DescriptionCompany OverviewJoin our fast-paced trucking and warehousing company, where efficiency and teamwork drive our success. We are seeking a dedicated and detail-oriented Customs Exam Admin to support our Customer Service Administrative team and contribute to the smooth running of our business.Responsibilities:Coordinate with various US Customs agencies (USDA, FDA, CPSC) on exams set upCommunicate with broker/forwarders and consignees to receive information needed to set up examCoordinate with steamship lines and terminals to move containers to the exam siteCoordinate with Mercer Dispatch and other trucking companies to have containers moved to the site and arrange for pick up after exam Coordinate with chassis companies and truckers to perform street turn on chassis as neededSet up information in computer system for tracking purposesSet up files and maintain information as the exam progressesInform warehouse lead so he/she can coordinate with custom agentsNotify customers of any issues with the exam and update customer as neededDownload pictures for our records and email any pictures to customerCheck containers in/out of yardMulti-tasking within a Customs Exam Station, transportation and fulfillment warehouseEnter work orders, track customs releases, enter customer invoices for billingEnsure all paperwork and payment is received before container is approved to leave yardLarge volume, fast paced e-mail and phone receive/writing /returningDocument storage and filingFlexibility in job duties/responsibilities (will be cross trained on other functions)General customer service to include answering phones, account management, responding to customer inquiriesAssist in recording trucks coming in through entrance gateOther duties as assigned Position Requirements:Excellent communication skills with customers, customs agents, and coworkers Previous experience in customs brokerage, knowledge of US import CES/CFS processes preferredMust be able to multi-task effectivelyDetail oriented, well-organized, and flexibleExcels in fast-paced, team-oriented environmentDemonstrate positive attitude when arranging on-time deliveries and tracking loadsDemonstrate strong proficiency in MS office suite- Excel, Word, Outlook, AccessHigh school graduate or equivalentPreferred Requirements:AA degree preferredPhysical Requirements: Ability to sit at a desk for extended periods.Occasional lifting possible (up to 20 lbs).Navigating stairs, exposure to warehouse environment and outside temperatures, and ability to maintain hand-eye coordination for data entry.Other Requirements: Reliable transportation to and from the workplace.Proficiency in MS Outlook, google sheetsExperience in the trucking and/or warehousing industry is a plus but not required.Benefits We offer a competitive benefits package, including:Medical, dental, and vision insurance.Two personal days per year.Paid sick leave, vacation and holidays.Company-matched 401(k) retirement plan.ScheduleFull-time, Monday through Friday 8am-4:30pm.
