Administrative Assistant – Mental Health Clinic
Position Summary
The Administrative Assistant supports the daily operations of the mental health clinic by providing front-desk services, coordinating scheduling, maintaining accurate records, and ensuring a welcoming, professional, and confidential environment for clients and clinicians.
Key Responsibilities
Client Services
- Greet clients with professionalism and compassion.
- Manage check-ins, intake forms, and consent paperwork.
- Verify insurance information and collect co-pays when applicable.
- Respond to inquiries via phone, email, and in person.
- Protect the confidentiality of client information at all times.
Scheduling & Coordination
- Maintain clinicians’ calendars; schedule, confirm, and modify appointments.
- Coordinate telehealth links and troubleshoot basic tech issues.
Administrative & Office Support
- Maintain client records in the EMR/EHR system in compliance with privacy laws (HIPAA).
- Process referrals, authorizations (including medication authorizations), and billing-related documentation.
- Assisting the Practice Manager with billing-related tasks and responsibilities.
- Prepare reports, letters, and correspondence as needed.
- Provide support to the Medical Director in carrying out administrative and operational tasks.
Required Qualifications
- High school diploma or equivalent.
- 1–2 years of administrative or healthcare office experience.
- Proficiency in scheduling software and electronic health records.
- Excellent communication, multitasking, and organizational skills.
- Understanding of HIPAA and behavioral-health confidentiality standards.
- Ability to work with empathy and sensitivity to clients’ needs.
Pay: $17.00 - $20.00 per hour
Expected hours: 40 per week
