What are the responsibilities and job description for the Staffing Coordinator position at Mentoring Alliance?

MISSION STATEMENT: The mission of the Staffing Coordinator is to ensure Mentoring Alliance has a healthy, well-managed, and responsive staffing pipeline for part-time and seasonal After School and Summer Camp roles. The SC accomplishes this by actively managing candidate pipelines, ensuring timely communication with applicants, screening for qualified and mission-aligned candidates, and partnering effectively with regional leaders, Marketing, and Human Resources.
KEY RESULT AREAS
1. Pipeline Management:
- Ensure healthy and sufficient applicant pipelines for part-time and seasonal After School and Summer Camp staffing needs across regions.
- Actively manage applicant flow to ensure timely responses to all applicants within one business day.
- Monitor and report on pipeline health, volume, and time-to-fill metrics.
2. Candidate Screening and Selection:
- Conduct initial application reviews, screenings, and Culture Index evaluations.
- Run background checks and reference checks in alignment with MA policies.
- Advance only qualified, mission-aligned candidates to hiring managers.
- Provide candidate recommendations based on established criteria
3. Hiring Manager Partnership:
- Partner proactively with regional hiring managers and Executive Directors to understand staffing needs.
- Schedule interviews and coordinate next steps in the hiring process
- Communicate regularly regarding pipeline status and candidate progress.
4. Recruiting Systems & Reporting:
- Manage applicant tracking processes using Paycom and other approved systems.
- Utilize Ninety (EOS) tools to track and report staffing metrics.
- Maintain accurate records, dashboards, and reports using Excel and other tools.
5. Cross-Functional Collaboration:
- Partner with the Marketing team to support employer branding, job postings, and social media recruiting efforts.
- Collaborate with Human Resources colleagues to continuously improve staffing processes.
- Collaborate with hiring managers in regions to ensure success.
6. Any other duties to serve the ministry as assigned by the Director of Human Resources or President. Serve on appropriate committees; attend staff meetings and ministry functions. Strengthen teamwork, collaboration, alignment, morale, transparency, credibility, and trust throughout the ministry.
QUALIFICATIONS:
- Bachelor’s degree or equivalent experience required.
- Strong communication and organizational skills.
- Experience in recruiting, staffing coordination, or HR operations preferred
- Proficiency with applicant tracking systems and Microsoft Excel.
- Ability to evaluate Culture Index profiles and apply screening criteria consistently
- Ability to manage multiple priorities with a high level of attention to detail
