We are a boutique immigration law firm seeking a reliable, organized, and proactive Office Assistant to support daily administrative and clerical operations. The ideal candidate is detail-oriented, professional, and capable of managing multiple tasks efficiently while contributing to a smooth and productive office environment.
We are willing to train the right candidate. Salary is commensurate with experience. We offer paid time off (PTO), sick leave, and medical benefits after a three-month probationary period.
Duties and Responsibility
- Greet visitors and clients in a professional and courteous manner
- Perform general clerical duties, including filing, data entry, copying, scanning, and document management
- Ensure office equipment and devices are functioning properly; coordinate with vendors to troubleshoot and resolve issues as needed
- Monitor office supply inventory and place orders when necessary
- Maintain and update the firm's schedule sheets, task lists, and internal Google Sheets
- Monitor incoming and outgoing mail and packages to ensure accurate tracking, proper documentation, and timely processing
- Assist with preparing reports, correspondence, and presentations
- Support administrative or HR-related tasks as needed, such as event planning, expense tracking, or onboarding paperwork
- Maintain well-organized physical and digital records
- Coordinate with team members to ensure efficient and smooth office operations
- Perform other administrative duties as assigned
Qualification and Skills
- Bachelor's degree preferred, or an equivalent combination of education and relevant experience
- Previous experience in an administrative or office support role is a plus
- Proficiency in Microsoft Office (Word, Excel, Outlook) and/or similar software tools
- Strong organizational, multitasking, and time-management skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Ability to handle confidential and sensitive information with discretion
- Professional demeanor with a positive, team-oriented attitude
- Legally authorized to work in the United States
