Role Description The Lab Administration Assistant is a key member of the Operations & Supporting Functions team, supporting the efficient functioning of Memsel’s laboratory environment. This role is primarily responsible for managing the internal task management system, tracking R&D inventory, and providing administrative support to laboratory staff. The position ensures operational excellence, compliance, and seamless coordination between lab operations and digital/data processes.
Roles and Responsibilities
Inventory Management & Procurement
- Maintain accurate records of laboratory inventory, including consumables, reagents, and equipment used in R&D activities.
- Track inventory levels, order status, and delivery timelines using approved systems (e.g., Quartzy)
- Organize incoming shipments, restock supplies, and resolve discrepancies with vendors.
- Ensure materials are stored under appropriate environmental conditions, and inventory is sufficient to support ongoing research and operations.
Laboratory Administration & Support
- Support Scientists and lab staff with administrative duties, including equipment maintenance scheduling, lab organization, and basic troubleshooting of lab equipment.
- Coordinate equipment placement, periodic calibration, and maintenance with vendors and internal teams.
- Manage biohazard waste disposal logistics and coordinate pickup services.
- Maintain safety documentation, including Safety Data Sheets (SDS), and assist with compliance recordkeeping.
Task Management System Administration
- Maintain and update the internal task management system, ensuring accurate tracking of lab-related tasks, assignments, and deadlines.
- Support the Head of Data and Digital Ops in monitoring task progress and generating status reports for lab operations.
- Coordinate with lab staff to ensure timely completion and documentation of assigned tasks.
General Administrative Duties
- Assist with onboarding new lab personnel (orientation, setup, badge activation, etc.).
- Coordinate outgoing shipments, deliveries, and internal logistics (meeting room scheduling, event support).
- Support travel coordination for lab staff as needed.
- Provide general office support to the Operations & Supporting Functions team.
Qualifications
High school diploma or equivalent
1–3 years of experience in administrative support, lab support, operations, or similar role
Strong organizational and time management skills
Ability to work independently and manage multiple responsibilities
Attention to detail and commitment to maintaining compliance and safety standards
Experience with inventory management systems (e.g., Quartzy) preferred.
Good communication and interpersonal skills.
