The Management & Program Assistant (Analysis) will provide assistance to one of four Mental Health Section Chiefs; Deputy Chief, and Chief. The Management & Program Assistant (Analysis) will provide administrative leadership, oversight, and coordination of various administrative functions.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. Responsibilities:
Duties include, but are not limited to the following:- On occasion, the Management and Program Assistant may be required to assist with scheduling mental health appointments.
- The Management and Program Assistant may be required to provide administrative support in the clinical programs in the absence of the Program Support Assistant.
- Each Management and Program Assistant will serve as an ADPAC and support the staff in his or her designated area.
- Will complete miscellaneous administrative functions as assigned by the supervisor, including but not limited to: maintaining calendars, assisting service in meeting Joint Commission and other accreditation/policy requirements, maintaining Equipment Inventory Lists, taking meeting minutes, and coordinate actions related to hiring initiatives.
- Manage and submit all clinic profiles requests for the providers in his/her assigned section.
- Will use all available data warehouses and dashboards to monitor and report clinic utilization, no show rates, missed opportunities and other relevant reports to the mental health leadership team.
- The Incumbent will assist the Section Chief in setting productivity targets for the providers in his or her section.
- Assigns and oversees duties of temporary clerical assistants and work-study students.
- The incumbent will ensure all clinic practice management functions in his/her assigned area adheres to local, VISN, and VACO policies and procedures.
- Responsible for accumulating information, data analysis and planning necessary for administrative recommendations and/or decisions to implement efficient section management and resolving section problems.
- coordinate all actions pertaining to the VA Central Office Mental Health Hiring Initiative.
- Will serve as the liaison for professional and administrative activities to all other sections of the Mental Health Service and to the medical center, appropriate personnel in VHA Headquarters, other VAMC's, academic institutions, and community agencies for professional psychiatry training, practice standards, and psychiatry research.
- Maintains the calendar for the Section Chief and arranges non-patient appointment and meetings, including the coordination and distribution of; on-call, teaching rounds, and grand rounds schedules.
- Assumes all time and leave reports are submitted on time for the service, to include interns/fellows.
