The Opportunity
The Memphis Grizzlies are seeking a Senior Accounts Payable Specialist, reporting to the Assistant Controller, responsible for overseeing all functions of the accounts payable process as well as providing support to the department as needed. The ideal Senior Accounts Payable Specialist is proactive in communicating, as well as problem-solving, and produces high-quality work supporting the Finance team, internal and external customers.
In This Role You Will
ACCOUNTS PAYABLE
- Ensure timely payments of vendor invoices and expense disbursements;
- Manage automated transmission of invoices into accounts payable software, distribution to appropriate coders/approvers, review for accuracy, and subsequent integration to accounting system for payment;
- Implement and maintain systems, procedures, and policies, surrounding account payable functions to ensure adherence to company guidelines;
- Oversee all payment transactions such as EFT, wires, paper checks, etc;
- Manage the AP e-mail in-box, ensuring timely processing of invoices and responses to internal and external inquiries; follow up on delinquent user-processing;
- Manage the corporate employee travel and expense reimbursement process;
- Provide training on the AP imaging platform and ensure user compliance;
- Maintain an organized and efficient filing system of all paid invoices;
- Update and maintain vendor files in accounting system;
- Obtain and verify vendor banking information for electronic payment processing;
- Manage timely completion and filing for IRS Form W-9’s;
- Participate in month-end and quarter-end close activities, including (but not limited to) preparation of accounts payable journal entries, account reconciliations, and auditor requested items;
- Prepare 1099’s and maintain 1099 tracking in our Accounting System;
- Ensure month end accounts payable cut off is met;
- Review and reconcile monthly AP aging including analysis on aged balances;
- Investigate and resolve outstanding issues;
- Oversee intern assistance in accounts payable area;
- Prepare journal entries as needed;
- Other duties as assigned.
VENDOR DIVERSITY PROGRAM
- Assist in developing and implementing a robust vendor diversity initiative.
- Work with management to design requirements, tracking tools, and key metrics.
- Provide regular status and metrics reporting to key executives.
The Experience You Will Bring
- Bachelor’s degree in accounting or related field;
- Four (4) or more years of accounts payable experience;
- Experience with AP Imaging platform and electronic payments;
- Excellent attention to detail and organizational skills;
- Strong verbal and written communication skills;
- Extensive computer knowledge, including MS Word, Excel and Outlook;
- Proven ability to manage time, meet deadlines and prioritize;
- Ability to interact and communicate effectively and collaboratively with non-financial colleagues;
- Possess a mind-set to utilize technology to increase efficiencies.
Nice to Have:
- Knowledge of Microsoft Great Plains;
- Experience with implementing and maintaining comprehensive vendor diversity program.
