The HRS will also perform a variety of complex administrative duties in support of the Senior Human Resources Manager (SHRM) and human resources department functions, including recruiting, hiring, orientation/onboarding, and records maintenance; performing various fiscal functions; providing clerical support to the department; benefit functions (enrollment, claim assistance, working with vendors and providers, employee assistance); leave functions (paperwork processing, employee assistance); workers compensation (paperwork processing, claim assistance, working with vendors and providers, employee assistance);and employee support in regards to human resources questions.

Position-Specific Performance Expectations, Duties, And Responsibilities

  • Participates in developing and implementing department goals, objectives, and systems.
  • Meets regularly with the SHRM to discuss the organization’s goals/strategies, activities, opportunities, and obstacles, and how HR can assist in these areas.
  • Answers and directs the department’s phone calls, mail (internal and external), e-mail, faxes, etc.
  • Provides general support and customer service to visitors and employees, acting as the primary point of contact for all internal and external customers.
  • Assists in the preparation of regularly scheduled reports and communications.
  • Provides record keeping, filing, scanning, and records management in an organized fashion with close attention to detail to maintain human resource records, including employee files in both paper and electronic format.
  • Applies close attention to detail to coordinate HR documents, meetings, trainings, and projects.
  • Assists with managing schedules and making appointments for all HR staff, as needed.
  • Updates Human Resources Information Systems (HRIS), databases, employee records, and other forms or documents as needed. Processes employee requests or changes as appropriate.
  • Assists employees and supervisors with basic interpretation of HR policies and procedures.
  • Updates policy and procedure manuals for the Human Resources Department at the direction of the HR Leadership Team.
  • Reviews and reconciles invoices and expense reports as requested by the Senior Human Resources Manager (SHRM).
  • Documents Human Resources actions by completing forms, reports, logs, and records as needed.
  • Prepares and coordinates employee orientation and assists management with onboarding in partnership with the HR Team.
  • Creates badges and grants access for MRH employees/students/travelers/volunteers/contractors, including work orders for electronic and badge access as needed.
  • Assists with preparing, editing, and maintaining job descriptions as directed by the SHRM.
  • Assists with conducting exit interviews, analyzing data, and making recommendations to the SHRM for corrective action and continuous improvement.
  • Assists with evaluating reports, decisions, and results of the department in relation to established goals. Recommends new approaches, policies, and procedures to continually improve the department’s efficiency and service level.
  • Maintains effective communication and works closely with payroll regarding new hires, employment changes, and terminated employees within the organization.
  • Assists with employee leave, including answering questions, providing information to management and payroll, and documenting.
  • Manages the monthly service award program with support from management and the HR Leadership Team.
  • Assists with employee licensure tracking and reporting for compliance.
  • Assists with processing Performance Evaluations for the organization. Tracks and reports data for compliance with policies and procedures.
  • Assists with workers' compensation insurance and employee safety program with support from the SHRM. Maintains accurate logs and other reporting as required.
  • May assist with paperwork regarding local, state, and federal reporting requirements as requested by the SHRM.
  • Responds to reference checks and verifications of employment status as needed.
  • Assists with benefit administration as needed.
  • Manages and organizes multiple concurrent projects, efficiently organizing work, setting priorities, meeting critical deadlines, and following up on assignments/projects/deliverables with minimal direct supervision.
  • Applies working knowledge of HR practices, healthcare practices, and local/state/federal regulations as needed to complete work.
  • Reads and understands, interprets, and communicates complicated policies, procedures, and protocols.
  • Proactively works to problem solves issues that arise with guidance from the HR Leadership Team.
  • Uses emotional maturity to analyze and resolve challenging situations with a calm and professional manner.
  • Maintains confidentiality, uses tact, discretion, initiative, and independent judgment within established guidelines to complete work assignments.

  • Participates in special projects as requested by HR Leadership Team.
  • Serves as backup for other team members in the HR Department when needed.
  • Participates in special projects as requested by the SHRM and coordinates with the HR team to assist with projects as needed

  • Actively contributes to departmental and organization-wide performance improvement and continuous quality initiatives.
  • Ensures compliance with all regulatory requirements, maintaining adherence to departmental, hospital, state, and federal standards and policies.
  • Follows all infection control, safety, and risk management procedures to maintain a safe environment for patients, the public, and staff.

Qualifications

  • Must be at least 18 years of age (21 for positions requiring driving, with a valid driver’s license).
  • Must be legally authorized to work in the United States.
  • Must successfully pass a background check.
  • Must successfully pass a pre-employment drug screen and breath alcohol test (if applicable).
  • Must complete an Employee Health meeting prior to starting employment.

EDUCATION, LICENSURE(S), AND CERTIFICATION(S)

Bachelor’s degree in Human Resources, Business, or Organizational Development.





Professional in Human Resources (PHR) or SHRM Certified Professional (SHRM-CP)

Experience

Two (2) to four (4) years of Human Resources recruitment experience.





Healthcare Human Resources experience.
