We are seeking a full-time Facilities Manager to oversee building-related activities for our Surgery Center. This position will be responsible for managing maintenance and repairs, protecting and preserving equipment/systems, and ensuring that the facility meets all accrediting-body rules and regulations to operate safely and efficiently.
POSITION OVERVIEW:
- Regulatory Compliance: Ensure fire monitoring, emergency power, water management, and air management meets or exceeds all health, safety, and regulatory standards.
- Repairs and Maintenance: Oversee routine and emergency repairs, identify existing or emerging structural issues for needed repairs or renovations, and develop maintenance programs.
- Preventative Maintenance: Monitor and conduct appropriate measures to reduce equipment downtime, extend equipment life, and lower maintenance costs.
- Documentation: Maintain accurate reports and documentation on construction materials, medical equipment, maintenance, work orders, repairs, safety, and other information related to facilities operations.
- Coordination: Work with other departments and contract vendors to streamline building repairs and construction, to ensure safe work conditions and smooth facility operations.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Oversees and conducts scheduled inspections on facility’s HVAC systems, refrigeration, equipment, medical gas, and other utilities management or electrical engineering systems to maintain Life Safety Systems in constant Accreditation Readiness state.
- Monitors the environment of care, including temperature, cleanliness, sterility, operational ability, ventilation, lighting, etc.
- Coordinates arrangements with contracted facility service providers, including logging of preventative maintenance, testing and inspections.
- Possesses and maintains complete operational knowledge of facility systems in compliance with AAAHC & CMS guidelines:
- Mechanical systems including humidifiers, thermostat management, scheduling and troubleshooting.
- Electrical including Transfer Switch Maintenance/Management
- Plumbing including rapid response and troubleshooting
- Medical Gas and vacuum systems including annual inspections and troubleshooting
- Generator operation including preventative maintenance, load testing, weekly logging and monthly forced runs/logging
- Fire Alarm including quarterly testing and inspections, drills, maintenance and troubleshooting
- Housekeeping maintenance including monitoring, communication and troubleshooting
- Waste Management coordinating and troubleshooting
- Annual Backflow testing and inspection for water and fire sprinkler water
- Regularly inspects patient exam rooms, waiting rooms, operating rooms, and other work areas to ensure all infection control standards are met or exceeded.
- Performs needed facility repairs following inspections, and notifies management when outside contracting assistance is required.
- Coordinates and oversees contractors for building repairs to ensure code compliance and resolution of issues.
- Treats and disposes of medical waste as trained to meet regulations. Maintain medical waste treatment areas, including waste receptacles and trash bins, per facility and regulatory requirements.
- Troubleshoots and corrects electrical problems/controls, as able, in accordance with building codes and facility’s safety procedures.
- Performs carpentry work and minor plumbing repairs, including replacement and installation of office furniture/equipment, lights, plumbing fixtures, and toilets, as needed.
- Ensures tools and equipment are properly maintained and all work/construction areas are kept clean and follow safety regulations at all times.
- Maintains work and construction areas in accordance with life safety and applicable regulations, and ensure areas are clean after completion
- Notifies management of potentially dangerous or hazardous equipment, systems, or building problems.
- Removes dangerous or hazardous equipment from service areas when repairs cannot be completed.
- Works with the safety officer to resolve observed or suspected safety violations, hazards, and provides support for the Emergency preparedness plan
- Assists in managing workplace safety initiatives and risk assessments, including fire safety and conducting fire drills.
- Ensures that fire/disaster drills are conducted according to state and accrediting-body guidelines and documented in a timely manner.
- Remains current on all applicable state and federal laws, rules and regulations, and professional and accrediting-body standards
- Develops, interprets, and implements policies, procedures, regulations, programs, and recommended practices to meet requirements of regulatory and accrediting organizations
- Reviews policies/procedures to ensure continued compliance with state, federal, and accrediting-body rules, regulations, and standards
- Promotes cost containment and efficient use of facility resources and completes work orders in a timely manner; Provides regular status updates to contact requesting repair to ensure complete resolution.
- Adheres to safety policies and procedures in performing job duties and responsibilities and follows established compliance policies and procedures.
- Assists in overseeing new construction design and negotiating service agreements with outside suppliers and service providers, as needed.
- Communicates effectively and professionally with patients, visitors, physicians, vendors and coworkers
- Performs other job related duties, as directed or requested.
WORKING CONDITIONS & PHYSICAL REQUIREMENTS:
May be exposed to:
- Loud noises periodically and intermittently.
- Inclement weather during the winter months.
- Workplace hazards and potential injury frequently.
- Potentially infectious materials.
Must be able to:
- Stand, walk, and sit for considerable lengths of time
- Stoop, crawl, kneel, and climb ladders
- Lift and carry over 50 lbs.
- Operate hand tools, power tools, and other equipment to complete assignments
- Physical stamina to work long shifts when needed.
JOB QUALIFICATIONS & REQUIREMENTS:
- Experience: Minimum 2 years of experience working at a licensed healthcare facility as a Facilities Manager or similar position.
- Education: High school diploma or equivalent.
- Licenses/Certification: BLS Certification or must be obtained shortly after hire.
- Strong knowledge in Emergency Power Systems, medical gas systems, NFPA regulations/guidelines, Life Safety, and other regulatory and accrediting bodies (AAAHC, CMS, TJC)
- Must possess: high accuracy and attention to detail, mental alertness and ability to meet deadlines, good judgment to effectively solve problems
- Must be able to take calls and respond to the facility within 30 minutes if not on-site.
PREFERRED EXPERIENCE / SKILLS:
- ASC experience preferred
- Bachelor’s degree in healthcare administration or engineering preferred.
- Certified Facility Manager, Electrical and Mechanical license or Engineer license, or HVAC Certification preferred.
- Bilingual in English and Spanish preferred.
Must be a mature, well-adjusted person who gets along with others and is able to work with others to accomplish common goals. Should be skilled in organization and coordination of efforts and personnel and in the maintenance of interpersonal relationships. Must be able to show good judgment and initiative and be alert, adaptable and persistent to detail. Must be available for calls and be able to report to work if needed for emergent events and disasters.
