This full-time role requires a highly organized and flexible individual to provide crucial administrative and legal support to multiple attorneys. Role Responsibilities:
As an Executive/Legal Assistant, you will support attorneys in a range of civil litigation and administrative tasks. Your duties will include, but are not limited to:
- Case Management: Take responsibility for managing assigned litigation cases and related tasks, ensuring timely completion of all case milestones.
- Calendar & Deadline Management: Monitor and manage attorney calendars, ensuring all deadlines are met. Handle scheduling and coordinating meetings, appointments, and court dates.
- Civil Litigation Support: Assist in case management and trial preparation, including organizing and tracking civil litigation materials such as documents for counsel, experts, and witnesses.
- Administrative Support: Provide high-level administrative support to attorneys and executives, including drafting legal documents, such as notices, motions, and case-related memos.
- Communication: Serve as the point of contact for clients, medical providers, clerks, and insurance agencies. Communicate effectively with clients and colleagues to ensure the smooth flow of information.
- Executive Assistance: Manage the executive’s calendar, organize meetings, send reminders, and prioritize sensitive matters. Handle administrative duties such as drafting emails, memos, and other communications on behalf of attorneys and executives.
- Billing & Financial Support: Assist in billing tasks; prior experience with billing is preferred but not required.
Required Skills and Experience:
- Education: Bachelor's degree preferred; Paralegal Certificate is a plus.
- Experience: 2 years of Litigation/Executive Assistant experience preferred.
Skills:
- Exceptional attention to detail with the ability to multitask and meet deadlines.
- Strong written and verbal communication skills.
- Organizational skills and time management capabilities.
- Proficiency with office tools such as Word, Excel, and document management platforms.
- Familiar with State and Federal Court filings, including submission of electronic filings.
- Ability to work independently and in a team environment on multiple projects simultaneously.
- A client-friendly, team-oriented attitude and professionalism in all interactions.
- Ability to maintain a high level of confidentiality.
- Flexibility: Willingness to manage additional duties and responsibilities as assigned.
