The Role
We’re looking for a detail-oriented, licensed real estate professional to join our team as a Listing & Transaction Coordinator. This position starts part-time with the potential to grow into a full-time role as our agent partnerships expand.
You’ll coordinate listings from pre-market through contract and closing, ensuring a smooth, organized, and professional experience for agents and clients.
What You’ll Do:
As the organizational backbone of the transaction, you’ll manage every detail from pre-market prep through closing day.
Your responsibilities include:
- Manage listings from preparation through active status and closing
- Oversee contract-to-close timelines, contingencies, and compliance
- Reviewing contracts, disclosures, and addenda for accuracy and compliance
- Managing MLS entries, updates, and marketing materials
- Coordinating photos, staging, inspections, and appraisals
- Tracking deadlines, contingencies, and key milestones
- Communicate proactively with clients, agents, lenders, title, and vendors
- Monitoring checklists and maintaining organized digital files
- Ensuring smooth closings and error-free settlement statements
Requirements
- Active Virginia real estate license (required)
- 1–2 years of real estate administrative, listing coordination, or transaction management experience preferred
- Strong organizational skills and attention to detail
- Excellent written and verbal communication
- Tech-savvy with MLS, AuthentiSign, Dotloop, Transaction Desk, Canva, AFrame, and/or Google Workspace experience. CRM experience (Lofty, Follow Up Boss, Buffani, etc) is a plus
- Bilingual (Spanish-English) is a plus
