As an Event Manager, you will provide strategic oversight for primarily medical education conferences and events; ensuring the event management process adheres to the highest standards and delivers exceptional service to clients. Offer strategic direction to clients to help fulfill their event goals and align their conferences with broader missions.
Responsibilities:
A. Act as client liaison and event management lead – including management of communications, timelines, budgets, materials, vendor management, and all aspects of the event planning process.
B. Foster the development of the client account by managing attendee relationships through exceptional operational delivery
C. Creation of venue requests for proposal, management of the venue contracting process, liaise with venue and client as necessary.
D. Maintain good long-term relationships with hotels, venues, accrediting institutions, vendors, and suppliers to ensure the best value for our clients.
E. Accurately deliver financial aspects of events in line with company policies and procedures – assisting with the identification and initiation of cost avoidance/savings measures, prepare budgets, and address final reconciliations
F. Create project timeline – identifying priorities and delegating tasks effectively
G. Manage the invitation & attendee, speaker, vendor management process including meeting registration, air travel, housing & ground transportation, as required
H. Manage attendee requests and communicate program and logistical information
I. Stay up to date with all aspects of attendee arrangements throughout the course of the program
J. Management and administration of virtual platforms and virtual conference buildouts – including collation and inputting of attendee details
K. Use client driven systems e.g. CVENT, Mailchimp, Zoom, Squarespace where applicable
L. Oversee production of database reports, including travel, housing and ground transportation, for client meetings and project management
M. Oversee production and arrange dispatch of attendee packs and other information
N. Oversee production of signage, badges, onsite manuals and other documentation, as required
O. Assist with effective scope management,
P. Assist in initiating client re-booking.
Q. Onsite attendance at events, as required
Qualities of a Successful Event Manager:
· High attention to detail
· Ability to plan, organize, prioritize, and complete work on-time and accurately
· Excellent time management skills with ability to manage multiple projects independently
· Project management and delegation skills
· Strong verbal and written communication skills, with strong ability present ideas and train others
· Solid expertise in Microsoft Office (including Sharepoint), Zoom, and email campaign platforms (like Mailchimp). Experience with Monday.com, Cvent (including Attendee Hub), and Squarespace a plus.

Requirements:
· Education: Bachelor’s Degree; or equivalent combination of education and experience required.
· Experience: Minimum of 3 years of Meeting/Event Planning experience required. CME Experience (Continuing Medical Education): 1 year (Preferred)
· Certifications: CMP (Certified Meeting Professional) or HMCC (Healthcare Meeting Compliance Certificate) preferred.
