Position Overview
We are seeking a highly organized, professional, and detail-oriented Corporate Program Coordinator to support our team in a dynamic medical consulting and education environment. This role provides administrative support while coordinating consulting projects, educational programs, sales follow-up, customer communications, travel, meetings, and event logistics.
As a key point of contact for healthcare professionals, customers, and industry partners, the Corporate Program Coordinator helps keep our team informed and connected by coordinating activities, facilitating communication, and ensuring information, timelines, and next steps are communicated clearly and consistently.
Administrative & Executive Support
- Manage calendars, appointments, and meeting schedules for the team.
- Coordinate and facilitate virtual and in-person meetings, including preparation of agendas, meeting materials, and follow-up documents.
- Answer and respond to phone calls, emails, and general business inquiries.
- Maintain organized business records, files, contracts, and administrative documentation.
Project Management & Event Coordination
- Organize event logistics, including venue coordination, attendee communication, registration management, scheduling, supply chain, and vendor coordination.
- Format and organize PowerPoint presentations, educational materials, attendee packets, and supporting documents.
- Assist with event setup, breakdown, and coordination of event supplies and training materials.
Sales Support & Client Relations
- Maintain CRM records, client databases, and project tracking systems.
- Follow up on sales leads and customer inquiries.
- Follow up on sales orders and provide customer updates.
- Maintain accurate records of sales activities, customer interactions, and follow-up communications.
- Assist with webinar registrations, attendee communications, and customer follow-up.
Travel & Business Operations
- Coordinate travel arrangements, lodging, transportation, itineraries, and expense documentation for the team.
- Submit expense receipts for reimbursements.
Qualifications
- Associate's degree or equivalent professional experience.
- Three to five years of experience in executive support, healthcare administration, business operations, sales support, or a similar administrative role.
- Excellent organizational, communication, and customer service skills.
- Strong attention to detail with the ability to manage multiple priorities and deadlines.
- Self-motivated, dependable, and able to work independently while collaborating with a team.
- Ability to travel occasionally for conferences, business meetings, and educational events.
