The Settlement Specialist will provide excellent customer service while efficiently communicating with our contractors, billing department and dispatch team. They are responsible for approving the pay of contractors. This position requires great communication and organizational skills.
Key Responsibilities:
- Approve new contractor payables for terminal each week
- Manage the company pay email which contractors use to communicate their weekly contractor trip sheets
- Send Approved to Pay report to payroll department by noon deadline every Tuesday
- Verify customer service and dispatch have entered customer and contractor pay rates correctly in the system and correct when necessary
- Verify dispatch has correct contractors assigned to accessorial in the system and make corrections when necessary
- Notify contractors regarding toll violations, equipment repairs, order rejections, shop bills, Accounting fees, events, deadlines, etc.
- Ensure that any required documentation is uploaded to TMS or provided to customer such as gate receipts, bill of ladings, spreadsheets etc.
- Provide and work with new contractors regarding correct procedures when submitting and processing paperwork
- Collaborate with Accounting to resolve any pay discrepancies that arise with contractor settlements such as duplicate or incorrect deductions, duplicate fuel charges, missing payments, wrong contractor paid, etc.
- Deduct payments or cancel orders due to contractor or dispatch error
- Review Pre-Close Report to ensure that all payables are correct before Accounting processes the payables
- Review Driver Accumulating Negatives report and provide status updates after contacting contractors
- Collaborate with Field Safety pertaining to deductions, termination, rehire, bank account information, drug testing, 2290, etc.
- Explain deductions, settlement statements, invoices, bonuses, 1099, Accounting policies, etc. to contractors
- Perform other duties as assigned
Required Qualifications:
- High school diploma or equivalent
- 1-2 years’ experience in intermodal trucking preferred
- Intermediate to advanced proficiency in Excel
- Proven customer support experience
- Superb organizational, communication, and critical thinking skills
- Detail oriented and the ability to prioritize
