Overview
We are seeking a dedicated and professional Front Desk Admin to join our team. The ideal candidate will be the first point of contact for our clients, providing exceptional customer service and administrative support.

Duties

  • Schedule and manage appointments for multiple providers and locations.
  • Verify insurance and gather required intake documentation.
  • Accurately enter and update client information in the EHR system.
  • Handle inquiries from multiple contact streams such as voice mail, email, web inquires and insurance referrals.
  • Calling scheduled clients to confirm upcoming appointments
  • Answer and return phone calls promptly, providing information or directing calls to appropriate personnel.
  • Maintain an organized system for administrative documents and client records.
  • Assist with customer support by addressing questions or concerns in a timely manner.
  • Collaborate with other staff members to ensure seamless communication and service delivery.
  • Handle any additional tasks as assigned by management to enhance office operations.
  • Maintain confidentiality and follow HIPAA guidelines at all times

Experience
The ideal candidate should possess:

  • Previous experience as a behavioral health receptionist or in a similar front desk role is preferred
  • Proficiency with EHR systems (e.g., SimplePractice, TherapyNotes, or similar)
  • Proficiency with Excel, Google Docs, Word and Outlook
  • Strong multitasking and organizational skills
  • Excellent verbal and written communication
  • Ability to work independently and as part of a team
  • High attention to detail and accuracy
  • Warm, empathetic, and patient-centered approach
  • Excellent customer service skills, demonstrating professionalism and courtesy at all times
  • Ability to proofread documents carefully to ensure clarity and correctness

Preferred Qualifications

  • Experience scheduling across multiple locations or provider calendars
  • Familiarity with behavioral health terminology and practices
  • Bilingual skills are a plus

Job Type: Full-time

Pay: From $15.00 per hour

Expected hours: 40 per week
