Our client is seeking an organized, proactive Administrative Assistant to support academic programs including Residency, Fellowship, Education, and Credentialing. This role also provides senior-level administrative support to departmental leadership, physicians, and teams while ensuring smooth coordination across fast-moving academic and clinical environments.Key ResponsibilitiesProvide administrative coordination for academic programs and support for executive leadership, physicians, and program teams.Manage and schedule meetings, including complex, multi-leader coordination across campus.Edit, format, and finalize documents, presentations, and reports-ensuring accuracy, professionalism, and consistency.Incorporate edits from multiple reviewers and add graphics or visuals as needed.Develop, organize, and maintain secure paper and electronic filing systems; manage document retention and information security needs.Independently create reports, analyze information, and summarize findings for leadership.Review incoming correspondence, prioritize items, and route or handle communications appropriately.Maintain office supplies, arrange equipment service, and manage mail, faxes, and messages.Support 6-10 medical students rotating through Dermatology clinicals, ensuring all onboarding documents, program paperwork, and evaluations are collected and submitted to appropriate faculty.Assist with scheduling needs related to students, program activities, and departmental leadership.Required QualificationsHigh school diploma.2-5 years of healthcare administrative experience.Strong organization, attention to detail, and ability to manage multiple priorities.Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and comfort with online research tools.Excellent written and verbal communication skills.Ability to work both independently and collaboratively in a fast-paced, evolving environment.Preferred QualificationsExperience in academic medicine or medical education.Tech-savvy with tools such as Canva, Zoom, Adobe/PDF platforms, or similar software.Soft SkillsStrong initiative and self-starter mindset.Professional and diplomatic communication style.Comfortable taking on a wide range of tasks and shifting priorities.Schedule Monday-Friday, 8:00 AM - 4:30 PM.BenefitsPaid Sick Leave (Medix provides paid sick leave according to state and local sick leave ordinances).Health Benefits / Dental / Vision (Medix offers 6 different health plans: 3 Major Medical Plans, 2 Fixed Indemnity Plans (Standard and Preferred), and 1 Minimum Essential Coverage (MEC) Plan. Salary : $18 - $24
