Job Summary

We are seeking a dynamic and organized Front Desk Receptionist to be the welcoming face of our organization. Responsibilities

  • Greet visitors warmly and professionally, providing exceptional customer service at all times
  • Manage multi-line phone systems, answer inquiries, direct calls, and take detailed messages
  • Schedule appointments and coordinate calendar management for staff and clients using productivity software
  • Perform data entry tasks accurately within various systems such as Microsoft Office, Google Workspace, and QuickBooks
  • Handle clerical duties including filing, proofreading documents, and maintaining organized records
  • Support office management activities such as supply inventory, filing systems, and general administrative support
  • Assist with bookkeeping tasks and basic bookkeeping using QuickBooks or similar software
  • Maintain a tidy reception area to ensure a welcoming environment for all visitors and staff

Requirements

  • Proven office experience with strong clerical skills and familiarity with front desk operations
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with multi-line phone systems, data entry, filing, and calendar management
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Exceptional customer service skills with professional phone etiquette and interpersonal communication abilities
  • Bilingual capabilities are highly desirable to serve diverse client needs effectively
  • Technical proficiency in office management software such as QuickBooks is preferred
  • Previous experience in medical or dental receptionist roles is a plus but not required
  • Personal assistant or administrative experience that demonstrates time management and organizational skills
