Job Description
We are seeking a dependable and detail-oriented Healthcare Administrative Assistant to support front desk, administrative, and operational functions in a concierge medical office. This role is ideal for a service-driven professional with strong front desk experience, excellent customer service skills, and the ability to manage daily workflows in a patient-focused environment.
Clinical experience as a Medical Assistant is a plus.
Fluency in both English and Spanish is required, as this role involves daily communication with Spanish-speaking patients and staff.
Key Responsibilities
- Serve as a primary front-desk point of contact, delivering exceptional patient service
- Manage patient scheduling, check-in, and oversee daily patient check-outs
- Support patient onboarding and coordination of services
- Assist with daily administrative and office operations
- Process and track accounts payable, including vendor invoices and documentation
- Assist with team scheduling and coverage coordination
- Manage ordering, inventory, and organization of medical supplies and medications
- Maintain accurate records and ensure HIPAA compliance
- Prepare reports and documentation using Microsoft Excel, Word, and PowerPoint
- Collaborate closely with clinical and administrative staff
- Support operations across multiple office locations as needed
- Work comfortably in a concierge medical model with no insurance billing
Qualifications
- Minimum 1 year of administrative experience in:
- Concierge medical practice, medical spa, or healthcare office
- Front desk experience in a medical or professional office required
- Fully bilingual in English and Spanish (verbal and written) required
- Medical Assistant experience preferred (especially primary care or outpatient settings)
- Knowledge of medical supplies and medication ordering
- Strong organizational and multitasking skills
- Excellent verbal and written communication
- Superb customer service skills
- Proficiency with EMR systems and Microsoft Office (Excel, Word, PowerPoint)
- Reliable transportation and ability to commute between offices
- Full-time, weekday schedule .
