Job Description
The Service Coordinator plays a critical role in supporting our field operations by managing daily and weekly scheduling, customer communications, and administrative tasks to ensure seamless service delivery. This position is ideal for an organized, detail-oriented individual with strong communication skills who thrives in a fast-paced environment.
Responsibilities
- Scheduling
Assist with managing scheduling for recurring monthly customer appointments and incoming service requests/repairs using CRM and scheduling software
- Customer Communication
Respond promptly to customer inquiries via phone and email, addressing questions, providing updates, and resolving basic issues.
Escalate complex issues to the Service Manager as needed.
- Administrative Support
Maintain accurate records of service requests, schedules, and customer interactions in the company’s CRM or scheduling system
Prepare reports on scheduling metrics or customer feedback as requested
- Team Coordination
Communicate daily with technicians to confirm schedules, provide updates, and assist with basic administrative tasks related to their assignments.
Coordinate with technicians to ensure availability and efficient allocation of resources
- Process Improvement
Identify opportunities to streamline scheduling or communication processes and collaborate with the Service Manager to implement solutions.
- Customer Satisfaction
Ensure all customer interactions reflect Medical Equipment Services core values
Job Requirements
- Minimum of AA degree and 1 year related administrative, customer support or dispatch / scheduling or HS diploma and 4 years related administrative, customer support or dispatch / scheduling
- Must have experience handling a high volume of phone calls
- Must maintain confidentiality, demonstrate good judgment and build and maintain trust.
- Must have excellent interpersonal/team skills and demonstrated ability to communicate proactively and clearly with a diverse team
- Must have strong organizational and planning skills, perform work efficiently, accurately and with a sense of urgency and initiative.
- Excellent computer skills including familiarity with Google Suite (Calendar, Gmail, Documents, Spreadsheets) and MS Office applications (Word, Excel, Outlook)
- Must have strong customer support orientation (for internal/external customers) and demonstrated professional demeanor
- Must demonstrate personal responsibility and follow through on tasks and projects
- Must be able to work on a computer and phone system for long periods of time
- Must be able to lift packages frequently weighing approximately 50 pounds
