Position Overview
We are seeking a highly organized and dependable Administrative Assistant to support our Medical Records, Referrals, and Billing teams.
This role plays a key part in ensuring critical patient information is received, processed, and routed correctly. The position requires strong attention to detail, ownership, and the ability to stay organized in a high-volume, fast-paced environment.
Schedule
- Monday–Thursday: 8:00 AM – 5:00 PM
- Friday: 8:00 AM – 3:00 PM
- No nights or weekends
- Closed on major holidays
Key Responsibilities
Responsibilities include, but are not limited to:
Document & Medical Records Coordination
- Manage high-volume inbound fax queue, including reviewing, sorting, and prioritizing incoming clinical documents
- Accurately upload and index documents into patient charts within the EHR
- Ensure all records are routed to the appropriate provider or department in a timely manner
- Identify urgent or abnormal results and escalate appropriately
- Maintain accuracy and completeness of patient medical records
- Process medical records requests and releases of information
Referral & Order Coordination
- Coordinate and process patient referrals to specialists, imaging, and therapy services
- Track referral status and follow up to ensure timely scheduling and completion
- Work with insurance companies to obtain authorizations and ensure compliance
- Communicate with providers, specialists, and internal teams to support continuity of care
Patient & Team Communication
- Communicate with patients regarding referral details, scheduling, and instructions
- Collaborate with clinical staff, front desk, and billing to resolve issues efficiently
- Provide a high level of customer service across all interactions
Compliance & Accuracy
- Ensure all documentation is complete, accurate, and compliant with HIPAA regulations
- Maintain strong attention to detail in all data entry and record handling
Additional Responsibilities
- Support the team with administrative projects and tasks as needed
- Assist with process improvements and special projects as the practice grows
What We’re Looking For
- Strong attention to detail and ability to manage high-volume administrative work
- Highly organized with the ability to prioritize tasks independently
- Reliable and accountable—takes ownership of assigned responsibilities
- Clear and professional communication skills
- Comfortable with computers and electronic medical records (EHR experience preferred)
- Prior medical office, referrals, or medical records experience preferred but not required
