Role Summary
We’re hiring a part-time Medical Industry Contract Support Specialist — a desk-based role ideal for someone with medical or veterinary industry experience who wants flexible hours. This person will assist with the contract process, assist with maintenance of contract data in a contract management system, support our work order and asset management systems, document field technician procedures, and perform customer-facing communication (primarily email and phone).
Key Responsibilities
- Perform accurate, timely data entry into contract, work order, and asset management systems.
- Document procedures, service notes, and technician field work clearly, consistently and efficiently
- Use Excel and Microsoft 365 to organize, analyze, and report data; prepare spreadsheets and basic reports.
- Communicate professionally with customers via email and phone; escalate issues appropriately.
- Troubleshoot issues, think critically about problems, and propose process improvements.
- Work under the direction of one manager (who shares oversight for this role); ask focused questions during training but perform independently once proficient.
Required Qualifications & Skills
- Experience in a medical or veterinary setting, or with medical equipment/medical industry processes.
- Moderate Excel skills (comfortable using simple features but open to learning and mastering additional features)
- Proficient with Microsoft 365 (Outlook, Word, Excel, Teams).
- Excellent written and verbal communication; able to document workload and communicate status clearly.
- Able to learn new software quickly; experience with work-order, or asset management systems is a plus.
- Self-starter who can work with minimal oversight once trained; comfortable exploring and learning from mistakes but must not repeat the same errors or make critical mistakes.
- Strong critical-thinking and troubleshooting ability; attention to detail and good organizational skills.
