The Office Manager is responsible for overseeing the daily administrative and operational functions of a growing clinical laboratory serving physician offices, nursing homes, home health agencies, and private patients. This position serves as the primary point of contact for clients, healthcare providers, and internal staff while ensuring seamless coordination of laboratory services, phlebotomy operations, specimen logistics, and customer support.

Responsibilities
- Essential Duties and ResponsibilitiesOperations Management
- Coordinate and manage daily office operations to ensure efficient workflow and service delivery.
Client and Healthcare Provider Support
- Serve as the primary contact for physicians, nurses, care coordinators, nursing homes, and home health agencies regarding laboratory services.
- Respond promptly to inquiries regarding specimen collection, test status, scheduling, and service-related concerns.
- Build and maintain positive relationships with healthcare providers and clients.
- Resolve client complaints and service issues professionally and efficiently.
Phlebotomy and Logistics Coordination
- Oversee and coordinate daily phlebotomy schedules and staffing assignments.
- Ensure all scheduled patient draws, nursing home collections, and home health collections are completed as requested.
- Monitor specimen pickup schedules and ensure timely transportation of specimens to the laboratory.
- Follow up on missed, delayed, or rescheduled collections to ensure patient care continuity.
House Call Management
- Coordinate and track all house call laboratory draw requests.
- Confirm appointments and communicate with patients, caregivers, and healthcare providers.
- Ensure house call requests are completed within established service timelines.
- Investigate and resolve any issues related to house call scheduling or specimen collection.
Client Account Management
- Establish and maintain new client accounts.
- Collect and verify required account information and documentation.
- Coordinate onboarding of new physician offices, nursing homes, and healthcare facilities.
- Maintain accurate client records and account information.
Administrative Duties
- Prepare operational reports and maintain departmental records.
- Monitor office supplies and coordinate purchasing as needed.
- Assist with implementation of policies and procedures.
- Support regulatory compliance, quality assurance initiatives, and accreditation requirements.
- Perform other duties as assigned by management.
- Monitor staffing schedules and maintain adequate coverage for office personnel, phlebotomists, and support staff.
- Assist management in workforce planning and scheduling to meet operational needs.
- Ensure all laboratory requisitions, specimen collections, and client requests are processed accurately and timely.
Pay: $27.00 - $30.00 per hour
