Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for staff and leadership.
- Supervise administrative staff, providing training, guidance, and development opportunities to foster a high-performing team.
- Manage vendor relationships, negotiate contracts, and coordinate services such as office supplies, maintenance, and equipment repairs.
- Coordinate event planning activities for meetings, company functions, and community outreach initiatives to promote engagement and team bonding.
- Handle bookkeeping duties using QuickBooks or similar software to manage invoicing, expense tracking, payroll processing, and budgeting tasks.
- Maintain accurate filing systems—both digital and physical—and ensure compliance with recordkeeping policies.
- Support human resources functions including onboarding new employees, managing employee records, and assisting with HR-related inquiries.
- Oversee office budget management by monitoring expenditures and identifying cost-saving opportunities while maintaining high service standards.
Requirements
- Proven experience in office management or administrative roles with supervisory responsibilities.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent communication skills—both verbal and written—with professional phone etiquette.
- Experience with bookkeeping software such as QuickBooks; familiarity with payroll processing is preferred.
- Demonstrated ability in event planning and vendor management to ensure seamless execution of projects and services.
- Knowledge of human resources procedures including onboarding, employee records management, and training & development initiatives.
- Familiarity with medical office management or healthcare environments is a plus but not required.
- Proficiency in calendar management tools and multi-line phone systems to coordinate schedules efficiently.
