Responsibilities
- Responding to all new client inquiries to ensure a seamless onboarding process
- Ensuring all intake paperwork is completed prior to a client’s first session
- Delegating incoming faxes and external communications to the appropriate clinician
- Collecting payment for services rendered and supporting billing follow-up as needed
- Conducting chart audits and sending documentation reminders to clinicians to ensure timely completion
- Assisting with content creation for client-facing materials as well as social media and email marketing
Qualifications
- Experience in administrative or front office roles (experience in a nutrition, therapy, or medical practice preferred)
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced, client-facing environment
- Excellent written and verbal communication skills, with a warm, professional, and compassionate tone
- High attention to detail, especially in handling client onboarding, documentation, and billing tasks
- Comfort with electronic health records (EHR) systems, scheduling platforms, and basic billing processes (or ability to quickly learn)
- Maintaining confidentiality and uphold HIPAA compliance standards
- Strong problem-solving skills and a proactive, self-directed work style
- Familiarity with or interest in nutrition counseling, eating disorder care, or behavioral health settings is a plus
This position offers a guaranteed 10 hours per week, with compensation of $250 per week (salary). A 401(k) is available after one year of employment, with opportunities for additional hours and role growth over time.
