Responsibilities
TITLE: Portable Meals Program Assistant
HOURS: 20 HOURS PER NON-EXEMPT POSITION
SUPERVISOR: HDM Program Manager
SUMMARY STATEMENT OF POSITION:
The Portable Meals Program Assistant provides operational support to the Meals on Wheels Portable Meals Program (PMP). This part-time position is responsible for verifying documentation accuracy, managing client intake records, posting meal units, coordinating with distribution partners, and overseeing the program’s dedicated delivery driver. The Assistant ensures that all PMP-related activities are completed accurately and in compliance with organizational procedures and funding requirements.
REGULAR TASKS:
- Verify and maintain accuracy of all sign-in sheets and NAPIS/intake forms for PMP clients.
- Enter client data and meal unit information into the CXM database in accordance with established program standards.
- Prepare and maintain complete client packets, including current menus, newsletters, and location-specific program materials.
- Post meal units into CXM based on signed sheets and delivery confirmations.
- Reconcile posted units against delivery and signature logs to ensure accurate data reporting and billing.
- Maintain and update the PMP meal count sheet regularly.
- Serve as liason for partner organizations and meal distribution sites.
- Coordinate meal deliveries with the commissary and ensure timely ordering based on program needs.
- Prepare route sheets for PMP Driver including packets for each delivery site.
- Ensure all documentation and program procedures follow compliance standards.
EXPERIENCE AND SKILLS REQUIRED:
- Creative, self-motivated, and resourceful.
- Empathetic understanding of older adults.
- Ability to plan and organize an activity program.
- Ability to communicate effectively with participants, volunteers, and staff.
- Ability to prepare written records and reports.
- Proficiency in Microsoft Word, Excel, and Publisher.
MINIMUM QUALIFICATIONS:
- High school graduate. Two-year college degree in business administration, recreation, or related field, preferred.
Pay: $20.00 per hour
