What are the responsibilities and job description for the Enrollment Specialist position at Meals on Wheels of Hillsborough County?
POSITION SUMMARY
Reporting to the Program Services Manger, the Enrollment Specialist supports the Client Services Department by calling prospective participants, determine eligibility and coordinate scheduling, completing enrollment intakes. Complete required annual assessments for designated funding groups. Time spent on job tasks may vary between team members based on department needs and at the supervisor’s discretion.
KEY ROLES AND RESPONSIBILITIES
· Efficiently manage and prioritize referrals received through HCMOW’s Operating System and other authorized referral channels
· Schedule intakes through team calendar
· Perform in-person and phone intakes and annual assessments of assigned participants
· Prioritize in-person client visits to obtain and verify documentation needed for appropriate funding sources
· Determine participant eligibility by maintaining thorough knowledge of procedures for all funding sources
· Operate independently, efficiently manage time and keep an organized, up to date calendar
· Goal-oriented mindset with the ability to meet monthly enrollment objectives
· Maintain thorough and current knowledge of appropriate community resources for referrals
· Report concerns about participants immediately to supervisor and follow appropriate protocols
· Acquire and maintain in-depth knowledge of technology and necessary functions
· Become familiar with and understand referrals that come from approved platforms
· Input/update participant information and meal schedules in participant database to ensure the participant is assigned to the correct nutrition site location during intake, assist with identifying the correct route for new participants
· Research information as needed to support new participant referrals and redeterminations
· Maintain complete and accurate records according to agency policies and procedures
· Track all referrals, intakes and annual assessments monthly
· Maintain client confidentiality
· Develop and maintain effective working relationships with client services team, site staff, participants, and referral sources
· Identify issues or barriers and recommend appropriate solutions
· Other duties as assigned
EDUCATION, TRAINING AND EXPERIENCE
- Associate’s degree preferred, with relevant experience preferred
· Intermediate/advanced knowledge and proficiency in Microsoft Office Suite
· Ability to maintain sensitive and confidential information
· Ability to communicate verbally and in writing with a high degree of skill and discretion
· Self-motivated with excellent attention to detail and organization skills
· Ability to manage time sensitive projects while maintaining daily duties and requests
· Ability to work independently and within a strong team environment
· Strong work ethic and judgment, flexibility, and a good sense of humor
· More than any particular experience, must have a strong desire to contribute to the mission of Meals on Wheels
· Must have and maintain a vehicle that has current registration and safety inspection
· Ability to lift up to 30lbs and climb stairs
Must have a valid driver’s license, and proof of automobile insurance with a minimum of liability coverage of no less than $100,000 per person and $300,000 per occurrence required

HOURS, WAGE & BENEFITS
· Full time position, 30-40 hours, non-exempt, hours to be determined at the time of hire
