The primary purpose of the Department Administrator in the Department of Radiation Physics, Division of Radiation Oncology, is to plan, direct, and implement the financial, personnel, operational, and research efforts within the department. Responsible for research operations and administration, personnel, operating budget and all related functions within the Department. Serves as the primary administrator within the Department of Radiation Physics. Demonstrates strong leadership and coordinates all functional activities in cooperation with the Department Chairman, Division Administrator, and other Directors.

The ideal candidate will bring sound business acumen and strategic thinking, along with a demonstrated drive to support and advance technology-enabled operations within a research and clinical enterprise. They will have the capability to translate strategic priorities into effective operational execution while continuously identifying opportunities for improvement and innovation.

The successful candidate will exhibit high emotional intelligence and a collaborative leadership style, with demonstrated effectiveness in managing relationships with faculty, staff, and leadership. Experience navigating differing perspectives, managing conflict constructively, and building trust across diverse stakeholder groups is essential. Strong team-building skills, coupled with the ability to develop clear reports and communicate effectively with faculty and staff, are critical for success in this role.

In addition, the candidate should have experience preparing, justifying, and administering departmental budgets, including the development of financial reports and the presentation of clinical and research financial data. The ability to partner closely with faculty and leadership to support fiscal responsibility, transparency, and informed decision-making is a key expectation.

Experience within academic medicine or healthcare, particularly in a research-intensive environment, is strongly preferred.

KEY FUNCTIONS

Financial Administration

  • Prepares, justifies and administers budgets for the Department of Radiation Physics including annual budget.

  • Responsible for maintaining actual to budget reporting systems for all research activities.

  • Works collaboratively with division leadership to establish best practices for capturing research efforts and expenditures.

  • Responsible for all capital equipment/ asset management reporting and control in the Department.

  • Responsible for review, monitoring, submission and auditing of sponsored research funding within the division.

Administrative Management

  • Assists Chairman in developing, maintaining and communicating a strategic plan for the Department of Radiation Physics.

  • Responsible for hiring, training, development and evaluation of the administration personnel.

  • Works with the Department Chairman on faculty recruitment, promotion, and salary administration. Must work closely with the Office of Vice President for Academic Affairs in coordinating recruitment and maintaining the schedule for evaluations, tenure and promotion.

  • Works with faculty on Classified and Education recruitment, promotion, visa issues, and salary administration.

  • Responsible for research functions including fiscal management, compliance with federal, state and institutional regulations, budget development and maintenance, auditing/reconciliation and capital budget.

  • Responsible for budget development and review for all research grants and contracts submitted by the Division.

  • Responsible for the effective and orderly repair, maintenance, safety and operating condition of all research equipment.

  • Designs and prepares financial and operational management reports for federal/private grant funds.

  • Monitors and projects future funding opportunities for the department.

  • Actively works with physics faculty and basic science faculty to pursue additional funding for research.

  • Coordinates, develops, and maintains clinical and laboratory research including securing resources to satisfy needs.

  • Performs responsibilities of Asset Management Property Officer for assigned department codes.

Project Management

  • Initiates and completes special projects and studies as directed by Division leadership and Chairman.

  • Demonstrates professional interpersonal skills; establish and maintain professional relationships with all internal and external customers; work effectively with a variety of MDACC employees, including administrators, physicians, management and support staff.

  • Responsible for developing and maintaining information systems for research and Department.

  • In conjunction with the Chairman, completes space and resource planning for research within the Department.

EDUCATION

Required: Bachelor's degree.

Preferred: Master's degree.

EXPERIENCE

Required: Seven years of progressive and responsible healthcare / research or business management experience to include three years in a management role. With Master's degree, five years of progressive and responsible healthcare, research or business management experience to include three years in a management role. Successful completion of the LEADing Self Accelerate and/or LEADing Self Discover programs may substitute for one year of required supervisory or management experience. Completion of both programs can be substituted for a maximum of two years of supervisory or management experience.

Preferred: The ideal candidate will demonstrate strong administrative leadership with proven success in people management and the ability to quickly learn, navigate, and optimize complex operational workflows. This includes oversight of onboarding, space management, and other core administrative functions that support a highly technical and evolving academic environment. Experience in a radiation physics or similarly technology-intensive setting is not required, but would be considered a strong asset.
