Position Overview
Under limited supervision responsible for administrative support to one or more senior management. Typical job responsibilities include assisting and supporting senior management in ensuring that the business functions operate in a manner that meets the operational needs of the organization by coordinating office services and handling administrative and office details. The specific work assignment may include duties or activities that assist and support management in one or more of the following functional areas, in addition to other duties as assigned:
Functional:
- Conducts specialized secretarial and administrative duties of one or more senior management
- Assists and acts in a confidential capacity to the management personnel who make and implement labor relations policies
- Regularly access to confidential information about future bargaining strategy or changes that the employer anticipates may result from collective bargaining
- Demonstrates a broad working knowledge of the internal practices, policies and procedures of the organization as assignments generally involve work of a confidential nature
- Completes other tasks that facilitate one or more senior management’s ability to effectively support the organization through utilization of the internal practices, policies, and procedures of the organization
- Drafts, proofreads and transmits correspondence, plans, policies, procedures, proposals and presentations
- Interfaces with groups inside and outside the organization (i.e., other Administrative Assistants, vendors, customer)
- May also perform some of the duties and functions of another non-bargaining unit Executive Coordinator on a temporary basis while the current incumbent is out on leave as required

- Possesses strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with strong attention-to-detail
- Administers senior level written and verbal communication skills
- Possesses senior level PC skills to include Microsoft Office (Outlook, Word, Excel, and PowerPoint), and Adobe Acrobat
- Conveys the ability to work constructively as a highly resourceful team-player in a collaborative office team environment and to also be highly effective independently with proven ability to be adaptable to various competing demands, successful implementation of time-management, and demonstration at the highest level of customer/client service and response
- Promotes strong work ethic, including sufficient initiative to implement directed solutions, and to welcome new and challenging tasks
- Demonstrates the ability to apply organizational practices, policies and procedures in performing a wide variety of related administrative tasks
- Maintains the judgment and discretion to properly discern and safeguard highly sensitive information and documents, including confidential information, company-proprietary information, and classified or otherwise sensitive national security information
Minimum Requirements:
- High School diploma or equivalent
- 6 years of related experience, or an equivalent combination of education and experience is required
