What are the responsibilities and job description for the Office Manager (Law Firm) position at McQuillan & Hohman Law, LLC.?
McQuillan & Hohman Law / Alaska Immigration Law Center
We’re a tight-knit law firm that serves Alaska. We’re looking for a hands-on Office Manager who knows how to keep a professional office running smoothly, cares about people, and isn’t afraid to own results. If you have real office management experience, can lead a small team, and are comfortable with bookkeeping and QuickBooks Online, we’d like to meet you. We are a fun and dynamic work environment and it will be unlike any other office you have work with.
What This Role IsThis is a full-time, on-site position in Anchorage, AK. You’ll be the operational backbone of a busy practice—balancing people management, clerical systems, and light accounting. You’ll work directly with the partners to set expectations, hold standards, and create a calm, client‑ready office every day.
· Lead day-to-day office operations for a small, fast-moving law firm; ensure the front desk, phones, calendars, and client intake run on time and to standard.
· Supervise and support administrative staff; set priorities, coach performance, schedule coverage, and step in where needed.
· Own clerical systems: file management (physical and electronic), mail/records, forms, supplies, vendor coordination, and equipment uptime.
· Handle basic bookkeeping in QuickBooks Online: A/P, A/R, invoicing, reimbursements, expense categorization, and monthly reconciliations.
· Coordinate payroll inputs, timekeeping, and benefits administration in partnership with our outside providers.
· Track KPIs for operations (intake volume, response times, billing hygiene, past-due follow-up) and surface issues early.
· Maintain compliant, professional office policies and procedures; help with onboarding/offboarding and basic HR documentation.
· Support attorneys with calendar management, travel, hearing logistics, and court/service deadlines.
· Jump in on special projects—process fixes, vendor switchovers, software cleanups, or an office move—without dropping the day-to-day.
· Bi-lingual in Spanish and English is highly preferred (though not required) and will result in pay-bump.
· 2 years of office management experience, preferably in a professional-services setting (law, medical, accounting, or similar).
· People leadership experience: delegating work, setting expectations, coaching, and holding standards.
· Solid clerical fundamentals: phones, calendaring, filing systems, document prep, and customer/client service.
· Bookkeeping skills and working knowledge of QuickBooks Online (or similar) and basic reconciliation.
· Comfort with common tools: Microsoft 365/Google Workspace, shared calendars, scanners, e-fax, and practice management systems.
· Discretion with sensitive information; professionalism with clients from diverse backgrounds.
· Calm, organized, and proactive—able to set priorities and keep them.
· Experience in a law firm, legal admin, or immigration services environment.
· Familiarity with billing/timekeeping software and trust/retainer basics.
· HR coordination exposure (benefits enrollments, I‑9s, handbooks, safety training).
· Salary: $45,000–$60,000 per year DOE.
· Retirement: dollar‑for‑dollar match up to the federal limit.
· PTO: aggressive paid time off policy.
· Bonuses: frequent performance bonuses.
· Equipment, training, and process support to help you succeed.
· Full-time, Monday–Friday.
· On-site in Anchorage, AK.
