Job Title: Curriculum and Instruction Administrative Assistant
Position Summary: The Curriculum and Instruction Administrative Assistant is critical in supporting the Curriculum and Instruction Director by providing administrative and clerical support to ensure efficient operations. This position works directly with the Director of Curriculum and Instruction and closely with teachers and staff to facilitate effective communication, maintain records, and assist with various educational programs and initiatives.
Key Responsibilities:
- Provide administrative support to the Curriculum and Instruction Director, including scheduling meetings, managing correspondence, and handling phone calls.
- Assist in the preparation of curriculum materials and curriculum meetings.
- Assist with budget tracking, purchasing, invoice processing, and monitoring departmental expenditures.
- Maintain professional development and other meeting records, ensuring accuracy and confidentiality.
- Maintain and organize mentor records and documentation for the district mentoring program.
- Efficiently maintains professional development records using Frontline Management System
- Support state and district assessment processes by organizing materials, maintaining records, and assisting with assessment-related communications.
- Coordinate events, workshops, and training sessions as directed by the Curriculum Director to support the development and implementation of curriculum programs.
- Track project timelines to ensure curriculum deadlines are met.
- Manage calendars, schedule appointments, and coordinate travel arrangements as needed.
- Collaborate with other departments at the Central Office to ensure efficiency.
- Assist in the preparation of budget reports and expense tracking for curriculum and instruction.
- Assists substitute and student teachers with onboarding and serves as the point of contact.
- Facilitates the coordination and management of student teacher placements.
- Assist in the planning and execution of curriculum meetings, including preparing agendas, recording minutes, and following up on action items as needed.
- Perform general clerical duties such as photocopying, scanning, and filing.
- Other duties may be assigned as needed.
Qualifications:
- High school diploma or equivalent (Associate’s degree or higher preferred).
- Minimum of 2 years of administrative support experience, preferably in an educational setting.
- Strong organizational skills and attention to detail.
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with Google Docs, Spreadsheets, and Forms.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Familiarity with educational programs and curriculum development is a plus.
