Job Summary
The FF&E Coordinator supports the planning, development, and acquisition of furniture, fixtures, and equipment (FF&E) for new schools, additions, remodeling/renovation projects, and ancillary facilities. This role is responsible for coordinating FF&E requirements to ensure accurate, cost-effective, and timely procurement while maintaining compliance with established standards, educational specifications, and project requirements.
This position works closely with schools, departmental personnel, project managers, subject matter specialists, and project teams to coordinate FF&E selections, budgets, layouts, specifications, and project documentation.
The ideal candidate is organized, analytical, and detail-oriented, with experience in FF&E coordination, purchasing, budgeting, supply operations, and interpreting architectural drawings and specifications.
Duties
FF&E Planning & Coordination
- Coordinate the development and maintenance of the FF&E catalog
- Review and evaluate FF&E selections for compliance with established buying guidelines, educational specifications, and approved standards
- Coordinate FF&E requirements for new construction, additions, remodeling, renovation, and ancillary/auxiliary facilities
- Review FF&E catalogs and requirements against architectural plans and project specifications
- Identify and resolve discrepancies between FF&E requirements, architectural plans, and project needs in coordination with Project Managers
- Provide technical and planning guidance to schools and departmental personnel regarding FF&E requirements
- Coordinate with subject matter specialists to gather product information and maintain standardized FF&E selections
Budget & Procurement Support
- Analyze and compare product and service pricing against market trends, availability, and economic conditions
- Monitor and support the effective utilization of FF&E budgets for assigned projects
- Reconcile school or principal requirements with available project funding
- Prepare cost estimates for alternative scopes of work
- Monitor projected project costs against approved budgets and identify potential discrepancies
- Support purchasing and supply-related activities to promote accurate, cost-effective, and timely acquisition of FF&E
Project & Design Coordination
- Participate in project planning, team management meetings, and project meetings
- Review Phase II and Phase III plan submittals for compliance with FF&E standards and utility requirements
- Review FF&E requirements for conformance with educational specifications, prototypical layouts, architectural plans, and project standards
- Develop FF&E Design Criteria documents for Design-Build projects
- Ensure FF&E layouts and selections conform to established prototypical and project-specific requirements
- Advise Project Managers of discrepancies, requirements, and potential issues affecting FF&E planning and implementation
- Coordinate with project stakeholders to support timely resolution of FF&E-related issues
Administrative Support
- Maintain accurate FF&E catalogs, records, specifications, and project documentation
- Prepare and maintain cost estimates, product information, and related FF&E documentation
- Perform general administrative duties related to FF&E planning, procurement, and project coordination
- Support communication and coordination between schools, departmental personnel, project managers, and other stakeholders
- Perform other duties related to the general administrative responsibilities of the position
- Review and evaluate FF&E selections for compliance with established buying guidelines, educational specifications, and approved standards
- Coordinate FF&E requirements for new construction, additions, remodeling, renovation, and ancillary/auxiliary facilities
- Review FF&E catalogs and requirements against architectural plans and project specifications

Qualifications
- Bachelor’s degree in Business Administration or a related field
- 2 years of experience in supply business operations and purchasing practices, preferably in a governmental, industrial, or institutional environment
- Knowledge and experience reading and interpreting architectural drawings and specifications
- Strong understanding of FF&E planning, purchasing, budgeting, and project coordination
- Computer literacy and proficiency with word processing, spreadsheets, and graphics programs
- Strong analytical and organizational skills
- Excellent oral and written communication skills
- Ability to coordinate multiple projects, requirements, budgets, and stakeholders effectively
- Strong attention to detail and ability to identify discrepancies between plans, specifications, and FF&E requirements

Pay: $35.00 - $40.00 per hour
