Job Overview
The Dedicated Inside Sales Associate supports a specific outside sales representative and their customer portfolio, acting as the primary internal partner for quotes, communication, and project follow-through. Unlike shared-service team members who assist a broader pool, this role is intentionally focused—building familiarity with assigned accounts to improve responsiveness, consistency, and project execution. The ideal candidate is detail-oriented, customer-focused, and driven to help both the sales rep and the customer succeed from proposal to delivery.
Key Responsibilities
- Serve as the primary inside sales contact for the assigned outside sales representative and their customer group.
- Prepare quotes, submittals, pricing packages, and documentation based on plans, specifications, or customer needs.
- Coordinate project requirements directly with the assigned outside rep, including follow-ups, status updates, and action items.
- Communicate pricing, availability, lead times, and product information to customers and partners.
- Track orders, monitor schedules, and address delays proactively to ensure smooth job execution.
- Maintain organized project files, CRM updates, and documentation for assigned accounts.
- Assist with equipment takeoffs, plan/spec review, or coordinate with engineering when required.
- Develop working knowledge of products/manufacturers tied to the rep’s territory or segment.
- Support customer relationship building through prompt response, consistent communication, and attentive service.
- Work closely with logistics, operations, and internal teams to move jobs from quote to fulfillment successfully.
Qualifications
- Bachelor’s degree in business, HVAC Technology, Engineering, or related field preferred.
- 1–3 years of inside sales, estimating, order management, or project coordination experience (HVAC or building systems a plus).
- Ability to read and understand mechanical drawings, specifications, and technical documentation.
- Proficiency with Microsoft Office; CRM or quoting software experience is helpful.
- Strong written and verbal communication skills with attention to accuracy and detail.
