McMahon Associates, Inc., a full-service, professional engineering and architectural firm, has an opening for a part-time Administrative Assistant in our Neenah, Wisconsin office. This 20 to 30 hour/per week position is 5 days a week. Typically, the position is 6 hours a day from January through April and 4 hours a day from May through December.

The position’s secondary responsibility is back-up receptionist during breaks or other gaps in coverage. This individual should have general office support experience and basic skills in MS Word and Excel with the ability to learn. Experience welcoming guests and answering phone calls in a professional environment is a plus.

Responsibilities
- Print and bind reports, specifications, and plans.
- Assist with incoming and outgoing packages.
- Assist with incoming and outgoing mail.
- Maintain an organized filing system, including scanning and archiving documents.
- Order supplies and restock supply closets and copy machines.
- Provide back-up front desk / receptionist services during receptionist’s breaks or other times when coverage is needed. Welcome guests. Answer and route phone calls to appropriate employees.
- Assist with data entry and correspondence work.
- Prepare and maintain clean conference rooms after meetings.
- Keep company refrigerators stocked with water and soda for meetings, employees and guests.
- Ensure common kitchen area stays clean and wiped down.
- Be proactive in helping any team member with projects or tasks as time allows.
- Possess a positive attitude along with excellent verbal and written communication skills
- Outstanding organizational and time-management skills
- MS Word, Excel, Outlook experience
- Working knowledge of and experience using office equipment, phone systems and printers
- In-depth understanding of office management and daily operations
